Entry-level Assistant to VP of Original Programming (Freelance)
Position overview: Tennis Channel is seeking an entry-level, freelance Administrative Assistant who likes and knows about tennis and is capable of supporting a VP-level executive and providing departmental support. Recent graduates are encouraged to apply. This is not an Executive Assistant position.
Daily Responsibilities will include, but are not limited to the following:
Administrative support
• Answers phone, takes messages and maintains calendar for VP of Original Programming
• Receives departmental vacation requests, maintains an attendance calendar and submits accurate attendance records to Accounting in a timely manner
• Coordinates office supply orders for the department
• Coordinates departmental travel for staff and freelancers including assisting producers coordinate travel insurance with Accounting department
• Coordinates credit card purchases for the department and maintains a file of receipts to be forwarded to Accounting
• Handles show pitches from outside sources and keep a file of signed submission agreements
• Collects Original Programming invoices and freelance timecards, obtains VP's signature, makes copies and submits to Accounting for processing
• Acts as point person for vendor inquiries
• Coordinates new hire documentation for department freelancers
• Gathers information and submits above-the-line Contract Requests Forms to Legal Department and follows up to ensure contracts are disseminated in a timely manner
Delivery support
• Drafts below-the-line deal memos using company approved template and arranges signature
• Maintains a list of premiere and delivery dates of upcoming shows and alerts all parties, on appropriate occasions, as dates approach
• Maintains production calendars and logs of OP shorts and episodes produced
• Coordinates advance deliverables to website and provides show descriptions and log lines to internal and external producers
• Coordinates and confirms that screening dates are set and met and delivers screeners (electronically)
• Contacts producer to confirm delivery and provides assistance where necessary
• Alerts Operations via email regarding the show's delivery date
• Receives in and out of house show master tapes and assist in the creation of a DVD master for each new show episode to be delivered to Tennis Channel's library for future dubbing
• Coordinates delivery of master tape or tapeless elements to Operations at Tennis Channel's Hayden studio facility in Culver City either by messenger, by personal delivery or by Storage Area Network (SAN) system
• Communicates details of delivery to Operations via email
• Creates and/or oversees creation of timing sheets for each show and maintains an electronic file in a public folder on the company's shared drive
• Creates a number of DVDs for immediate distribution as instructed by VP
• Receives in and out of house deliverables and coordinates delivery to Web department
• Coordinates delivery of raw footage (taped and tapeless) as well as a re-connectable project file, digitized project footage and all other elements, with outside productions and facilitates the archiving of said projects including testing the project file prior to archiving to confirm connect-ability.
• Assists producers in creating production binders for completed shows
Qualifications
• College degree is required
• Knowledge of tennis and ability to identify professional tennis players is required
• Minimum 1-2 years work experience, can be internships
• Interest in TV production is a plus
• Must be detail oriented and able to multi-task
• Must be tech savvy, proficient in MS Office and able to burn DVDs
• Ability to work independently, prioritize and meet deadlines
• Excellent interpersonal and communication skills and ability to effectively and positively interface with personnel at all levels, both verbally and in writing
