Assistant Production Manager (Theater)
Team San Jose - San Jose, CA
POSITION SUMMARY
The Assistant Production Manager is responsible for assisting to supervise touring and local production events held in the four theaters managed by Team San Jose (California Theatre, Center for Performing Arts, Montgomery Theater, and San Jose Civic), and performing a wide range of administrative tasks to meet Production needs.
POSITION RESPONSIBILITIES
• Advance all aspects of shows, including production and technical rider and catering needs
• Attend client site meetings while providing innovative and efficient solutions to client queries
• Manage both concerts and special events with equal attention and high standards
• Interface and make production arrangements with local labor and equipment venders on behalf of the clients.
• Understand union conditions as listed in the union contracts TSJ holds with Hair and Make Up, Wardrobe, Musicians, and Stagehands.
• Place orders with vendors and process vender invoices with accounts payable and enter costs into EBMS
• Procure additional equipment rentals for any TSJ event or activity
• Update EBMS to reflect event status and ensure accuracy of event details
• Coordinate all backstage activities, and interaction with other tenants
• Produce and be responsible for event budgets
• Offer ideas of capital improvement and safety maintenance
• Supervise and ensure Production staff (Runners, Production Assistants, and union employees) meet expectations, and approve electronic time cards.
• Coordinate needed repairs of house equipment
• Assure a safe working environment at all times implementing Team San Jose safe operating policies and procedures
• Process injury reports according to TSJ guidelines
• Maintain good relations with local unions, third party contractors and other tenants
• Schedule Production Runners according to event needs.
• Respond to tour, vendor, and internal inquires.
• Prepare memos, letters, work orders and spreadsheets.
• Assist with department communications including phone and email.
• Provide administrative support for Production team and tour as needed.
• Drive own vehicle for company business as needed.
POSITION REQUIREMENTS
• 2 years of production coordination experience. Experience within a theater venue of comparable size preferred.
• At least 2 years' experience in an administrative position.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office and the Internet
• Knowledge of event management software such as EBMS.
• Strong attention to detail required
• Quick and innovative problem solver
• Knowledge and ability with working with trade unions preferred
• Enthusiastic, dependable, positive team player
• Self-starter; professional demeanor
• Ability to multi-task and be successful in a fast-paced environment.
• Must have valid driver's license.
