Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival. Position may be housed in Park City during the Festival.
Position Summary: Plans and coordinates all logistical aspects for the Artist at the Table benefit event.
Duties and Responsibilities:
• Coordinates operational and logistical needs for the Artist at the Table benefit, includes early planning to execution.
• Coordinates venue site visits, floor plans, dcor, tech, staffing, etc.across internal and external stakeholders
• Serves as department resource to the Festival Operations Team to communicate plans and implementation of the AATT event.
• Manages expenses against projected and actual budget.
• Collaborates and has consistent communication with Festival Coordinator, Artist at the Table Administration position to ensure revenue, expenses and logistical planning are on track.
• Supports development and execution of event program, including run of show and program remarks.
• Coordinates with marketing to design and order all event collateral.
• Maintains a positive attitude, timely communications, and addresses feedback as it's provided with all vendors to build functional and professional rapport.
• Assists with onsite setup and teardown of venue.
• Provides onsite coordination of food and beverage, artist liaison, volunteers and staff, guest check-in, and vendor direction.
• Documents event in detail, including photos, BEO, evaluation sheets, layout, processes, correspondences, attendance (RSVP/actual), issues, etc.
• Supports communications and materials for Event Chairs,Utah Advisory Board and event sponsor(s).
• Provides support to the Associate Director, Events as needed.
• Supports other event team members during event planning and execution as directed.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
Employee has legal authorization to work in the United States.
EDUCATION AND EXPERIENCE
• 2 years event planning experience.
• Experience working with donors and board members preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
• Detail oriented and able to take initiative and work independently.
• Strong project coordination skills, with the ability to maintain multiple projects simultaneously.
• Excellent customer service skills.
• Working knowledge of Excel, FileMaker Pro, Gmail, Google Drive and Calendar.
• Excellent communication and interpersonal skills (written and verbal).
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Ability to think and act quickly under pressure.
