Full Time Job
Sundance Institute, located in Park City, Utah is currently looking to hire a seasonal Volunteer Coordinator to recruit and slot Park City Theatre Volunteers for the 2018 Sundance Film Festival. This position will work full time out of our Park City office. Additionally this role will be lodged in Park City during the January Film Festival if employee does not live within Summit County. Candidates will need to be prepared to work extended hours (evenings, weekends, some holidays) during key points and be willing and available to respond to on-call needs as assigned. Additionally candidates will need a high level of mobility as well as being comfortable in their ability to drive safely in winter road conditions.
Employment Dates: 10/18/2017-2/14/2018
Hourly Wage: $14.25/hour plus occassional overtime
Position Summary: Coordinates recruiting and slotting of Park City theatre volunteers (400 people) and functions as these volunteers main point of contact for initial and ongoing communications.
Duties and Responsibilities:
• Recruits, interviews, slots, and schedules primarily Park City theatre volunteers.
• Provides ongoing and accurate information to assigned group of volunteers (400 ) and provides timely responses to their inquiries.
• Communicates consistently with theatre operations department regarding their volunteer needs and placement.
• Enters information in volunteer database daily maintaining up-to-date and accurate information.
• Assists manager with coordinating the PC volunteer theatre management teams as directed.
• Assists with planning food deliveries for PC volunteers and follows up to ensure they are received.
• Supports volunteer team with general office assistance, database tracking, responding to emails and voice messages, taking messages, filing, etc.
• Creates and provides volunteers with information packets.
• Assists with building trainings and facilitating training sessions.
• Conducts daily PC venue visits throughout the Festival to check-in with volunteers and provide timely resolution to issues as they arise.
• Communicates expectations on a regular basis with volunteers to ensure an effective and positive volunteer experience.
• Tracks and monitors volunteer hours, including filling no-shows.
• Provides on-call after hour coverage during the Festival to answer volunteer related questions, concerns, or emergencies as necessary.
• Creates volunteer evaluation packets and distributes them to assigned departments or venues.
• Reviews submitted volunteer evaluations with departments and conducts follow-up to compile relevant information as needed.
• Makes updates to department process document as directed.
• Write a comprehensive wrap report, as directed.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• Valid driver's license and successful completion of DMV background check.
• 2 years operational planning and high volume volunteer or staff recruitment experience or related.
• Strong leadership skills.
• Working knowledge of databases along with proficiency in Microsoft and Google Products.
• Outstanding communication skills, telephone, written and interpersonal skills required to work effectively with a wide variety of people.
• Excellent organizational skills including self management of work schedule ability to multi-task in a fast-paced environment.
• Strong conflict management skills.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines and events.
Preferred Education
, Experience and Skills:
• Experience facilitating trainings for large groups.
• Experience with Shiftboard or another volunteer database.
