Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival. Position may be housed in Park City during the Festival.
Position Summary: Coordinates administrative functions for the Production Department.
Duties and Responsibilities:
• Schedules safety inspections, creates and disperses inspection reports with notated action items and owners of tasks to be completed.
• Updates and maintains various scheduling items e.g. timelines, calendars (physical and electronic forms).
• Sets up meetings between Production staff and other departments to review Production Master Timeline.
• Sets up Production festival office space in Prospector, ensuring furniture and equipment delivery, proper placement of items, functional phone, internet, printers, etc.
• Maintains office space as clean, organized and safe environment.
• Accountable for department petty cash, charge accounts and coordinates invoice processing and record keeping.
• Assist Production Services Manager in fulfilling the PARF (Production Assistance Request Form) service requests.
• Review Event PARF service orders on a daily basis for accuracy and changes, providing Production Service Manager final copy for load and delivery.
• Conducts purchase runs as directed.
• In conjunction with Assistant Director, coordinates the Festival recycling program with vendor.
• Re-keys and obtains keys for Festival venues and theatres and tracks key distribution and return.
• With Assistant Director, plans for and coordinates department logistical needs including, lodging, radios, cell phones, rental vehicles, etc.
• Manages repair and replacement of Production trucks and vehicles as needed, working with Production Services Manager to minimize impact on service.
• Assists with dispatching Production Assistants and department with tasks and projects as needed.
• Sets up wrap meetings internally and with other departments.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
Employee has legal authorization to work in the United States.
EDUCATION AND EXPERIENCE
• 2 years of office administrative experience.
• Production experience helpful.
KNOWLEDGE, SKILLS, AND ABILITIES
• Working knowledge of Excel, FileMaker Pro, Gmail, Google Drive and Calendar.
• Detail oriented and able to take initiative and work independently.
• Strong project coordination skills, with the ability to maintain multiple projects simultaneously.
• Excellent customer service skills.
• Excellent communication and interpersonal skills (written and verbal).
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Ability to think and act quickly under pressure.
• Valid driver's license and successful completion of DMV background check.
