Dates worked: 11/02/2016-2/17/2017
Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival. Position may be housed in Park City during the Festival and may need to travel to the Sundance Los Angeles CA office.
Position Summary: Plans and executes event logistics for official Sundance Film Festival events.
Duties and Responsibilities:
• Plans and implements logistical needs for assigned events e.g. equipment, design and dcor, catering, technical needs, setup, teardown, etc.
• Works directly with the LA based Manager, Events on pre-planning and execution events.
• Creates and edits invitations for Sundance events using the platform Splash That.
• Maintains and update budgets for assigned events, supporting the FY17 budget process.
• Supports manager on other aspects of department budget and expenses as requested.
• Provides ongoing and timely communications with venue managers, vendors, and Festival Operations Team regarding each event's structure and needs.
• Supports events team with various projects, including assisting team members with onsite event execution.
• Documents assigned events and their details items such as BEO, evaluation sheets, alcohol sheets, vendors, event correspondences, attendance (RSVP vs. actual), issues, etc.
• Provides on-site coordination to deliver high quality, successful, and professional events.
• Manages assigned volunteers and staff support for each event.
• Support departmental projects, to include data collection, digital folder organization, Institute wide calendar updates.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
Employee has legal authorization to work in the United States.
EDUCATION AND EXPERIENCE
• 2 years experience planning and executing events.
• Experience interacting with donors and board members preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
• Detail oriented and able to take initiative and work independently.
• Strong project coordination skills, with the ability to maintain multiple projects simultaneously.
• Excellent customer service skills.
• Working knowledge of Excel, FileMaker Pro, Gmail, Google Drive and Calendar.
• Excellent communication and interpersonal skills (written and verbal).
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Ability to think and act quickly under pressure.
• Basic knowledge of audio/visual equipment preferred.
