Dates Worked: 10/26/2016-2/17/2017
Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival. Position may be housed in Park City during the Festival. Valid driver's license and ability to drive safely in winter road conditions between Park City, Salt Lake City, and Provo.
Position Summary: Manages theatre box office operations (9 Park City, 5 Salt Lake City, 1 Provo) and oversees balloting procedures for the Sundance Film Festival.
Duties and Responsibilities:
• Assists Manager with overseeing operations at theatres and Regional Managers with red flag screenings.
• Updates Theatre Operations timeline items which relate to theatre box offices and balloting.
• Updates and develops various trainings and quick reference manuals for theatre box offices, balloting, and scanning.
• Schedules and conducts trainings for theatre box office, balloting, and scanning staff and volunteers.
• Partners with the finance department to develop and implement effective accounting practices, procedures, and schedules for pickups and deliveries.
• Hires, trains, and manages three assistant coordinators.
• Provides general supervision, creates schedules, and ensures evaluations are completed for assigned volunteers.
• Develops training materials and key online tools used to disseminate training information to theatre box office volunteers prior to the Festival.
• Designs and orders ballots, At-the-Theatre Tickets, etc.working with Manager and Marketing.
• Orders and schedules delivery of various IT equipment, and ensures internet connections are installed and functioning at each theatre by deadlines.
• Manages inventory and distribution of at-the-theatre, volunteer, and sun voucher tickets for each theatre location.
• Oversees that required theatre box office materials and supplies are received, organized, and delivered to theatres by deadlines.
• Works with IT to create log-ins with accurate access and performs routine audits on ticketing system for assigned volunteers to mitigate loss and unauthorized use.
• Provides timely and continuous on-site and remote support to all theatre box office locations.
• Runs reports for internal stakeholders as directed.
• Manages balloting procedures for all theatres, includes creating schedules, preparing materials, maintaining calculation spreadsheet, communicating with finance department, etc.
• Writes a comprehensive written wrap report as directed.
• Other duties as needed.
Position Requirements:
Employee has legal authorization to work in the United States.
EDUCATION AND EXPERIENCE
• 3 years experience in managing operations and venue management.
• Experience managing staff.
KNOWLEDGE, SKILLS, AND ABILITIES
• Strong project management skills, with the ability to maintain multiple projects simultaneously.
• Working knowledge of Excel, FileMaker Pro, Gmail, Google Drive and Calendar.
• Ability to lead by example and act with integrity.
• Excellent communication and interpersonal skills (written and verbal).
• Strong customer service skills.
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Detail oriented, able to audit work to avoid mistakes, and perform tasks accurately.
• Ability to think and act quickly under pressure.
• Ability to work well with a diverse group of people.
• Valid driver's license and successful completion of DMV background check.
