Dates Worked: 11/02/2016-2/17/2017
Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival. Position may be housed in Park City during the Festival.
Position Summary: Plans and executes multiple events held at The Shop an official venue during the Sundance Film Festival.
Duties and Responsibilities:
• Plans and implements logistical needs for events held at The Shop e.g. equipment, design and dcor, catering, technical needs, setup, teardown, etc.
• Works closely with internal stakeholders on details of events held at The Shop.
• Creates and edits invitations for Sundance events using the platform Splash That.
• Provides ongoing and timely communications with venue owner, vendors, contractors, sponsors, Corporate Development, and Festival Operations Teams.
• Maintains and update budgets for assigned events, supporting the FY17 budget process.
• Supports manager on other aspects of department budget and expenses as requested.
• Manages venue design and flow incorporating sponsor signage, electrical, equipment, good aesthetics, security, evacuation plan, etc.
• Supervises and assists with setting up and breaking down the venue space.
• Oversees procuring and returning venue items and installations by deadlines.
• Conducts walk throughs pre and post Festival making sure venue is ready for public and is returned to original set-up.
• Manages assigned volunteers and staff support for each event. .
• Provides on-site coordination to deliver high quality, successful, and professional events.
• Supports events team with various projects, including assisting team members with onsite event execution.
• Support departmental projects, to include data collection, digital folder organization, Institute wide calendar updates.
• Documents assigned events and their details, items such as BEO, evaluation sheets, alcohol sheets, vendors, event correspondences, attendance (RSVP vs. actual), issues, etc.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
Employee has legal authorization to work in the United States.
EDUCATION AND EXPERIENCE
• 3 years experience managing event planning and execution.
• Experience managing staff.
• Experience with sponsor activation preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
• Strong project management skills, with the ability to maintain multiple projects simultaneously.
• Working knowledge of Excel, FileMaker Pro, Gmail, Google Drive and Calendar.
• Ability to lead by example and act with integrity.
• Excellent communication and interpersonal skills (written and verbal).
• Strong customer service skills.
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Detail oriented, able to audit work to avoid mistakes, and perform tasks accurately.
• Ability to think and act quickly under pressure.
• Ability to work well with a diverse group of people.
• Basic knowledge of audio/visual equipment preferred.
