SFMG is currently looking for a highly experienced and seasoned Executive Assistant to support the President and CEO of the company. The Executive Assistant will be responsible for handling both executive and personal assistant duties. He/She will ensure that the Executive Office operates in an efficient and effective manner by supporting heavy and ever changing calendar management, receiving a high volume of phone calls, responding to emails in a timely fashion and being flexible for other tasks as they arise. The ideal candidate should be accustomed to working in a fast paced environment.
The Executive Assistant must possess exceptional verbal and written communication skills, tact and diplomacy, and exemplary time management skills.
KEY RESPONSIBILITIES
• Assist with daily activities and projects for the President and CEO.
• Manage and assist on travel coordination.
• Manage and maintain executives' schedules, appointments and travel arrangements.
• Arrange and coordinate meetings and events.
• Manage and monitor scheduling for Executive Committee.
• Critical interface with Executive Team's guests, clients & colleagues.
• Collaborate with Executive Team to create a smooth work flow and meet deadlines.
• Monitor email correspondence to and traffic accordingly.
• Follow up on action items.
• Prepare and edit business correspondence, communications, presentations and other documents.
• Perform professional and personal errands as needed.
• Maintain an effective filing system.
• Transcribe materials as needed.
• Prepare and edit correspondence, communications, presentations and other documents.
• File and retrieve documents and reference materials.
• Conduct research, collect and analyze data to prepare reports and documents.
• Record, transcribe and distribute minutes of meetings.
• Southern California travel as required.
• Perform any other job related duties as assigned.
SKILLS:
• A passion for the music industry and live performance.
• Must be extremely organized and able to coordinate several different projects at the same time
• Excellent organization and time management skills -
• Strong proficiency and working knowledge of Mac, (proficiency in MS Outlook, Word, Excel, PowerPoint)
• Ability to manage confidential information. - A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the artist client and team as well as the company is important.
• This position requires acceptance and signature of confidentiality agreements.
• Fluency in English is required. Bilingual in Spanish is preferred.
• Must have own vehicle and a valid driver's license. Work travel expense compensation to be provided.
• Must be able stand and/or sit for long periods of time and the ability carry objects up to 30 pounds.
• Must be able to work outside of normal business hours (including weekends and/or holidays) as job duties or assignments require, sometimes with little advance notice.
• Must be willing to submit to a background investigation.
• Must have unrestricted work authorization to work in the United States.
QUALIFICATIONS
• Bachelors' degree and strong academic credential preferred.
• Minimum five years' experience in support position to President and C- level or executive-level personnel.
