Primary Responsibility:
The Executive Assistant will provide general administrative support to the Managing Director, Starz Media. Duties include, but are not limited to, answering phones, scheduling meetings, booking travel, interacting with internal and external contacts and maintain filing system.
Essential Duties and Responsibilities include, but are not limited to:
• Will manage and maintain a high level of communication, both written and verbal, with senior executives and staff at Starz, major film studios, production houses, agents, talent, etc.
• Manage and maintain executive calendar, assist in meeting preparation, and schedule/coordinate meetings, conferences, teleconferences.
• Arrange travel schedule clarifying travel preferences by determining travel dates and destination, mode of transportation, and relevant cost savings for Starz. Schedule itinerary by identifying, booking, and confirming route, carriers, lodging, and dining. And prepare expense reports; coding, scanning, and reconciling.
• Manage correspondence and enhance department effectiveness by providing information, answering questions and requests and providing management support.
• Organize office operations and procedures, including copying, printing, compiling documents, creating binders, creating and distributing agendas/itineraries, sending and receiving mail and faxes, ordering supplies, maintain organization and filing system, etc.
• Maintain supply inventory by checking stock to determine inventory level; anticipate needed supplies; place, expedite and verify receipt of supplies.
• Ensure efficient and effective phone coverage to assist in communicating and have the ability to screen incoming calls and correspondence and respond independently when possible.
• Additional duties and projects as assigned
Education, Knowledge, and Experience:
• Minimum of 5 years of administrative/office management experience, with focus working with talent agent or high level Entertainment Production Executive required.
• Proven experience working with international production and business operations, including managing across multiple time zones required.
• Prior experience managing heavy travel and schedule arrangements, including logistics of international travel required.
• Must be familiar with the creative process as a whole.
• Demonstrated interest in International Scripted Original Programming & Production.
• Proven success managing and providing support to high level executive.
Skills, Abilities:
• Self-directed, efficient and able to handle multiple tasks and priorities in a professional and confident manner.
• Possess professional level verbal and written English communication skills as well as interpersonal and organizational skills.
• Strong understanding of International cultures, geography, resources required.
• Must have the ability to direct, organize and focus the work flow, clients, and traffic within the department and for the Executive.
• Ability to prioritize work, demonstrated problem-solving ability, and a keen attention to detail.
• Ability to multi-task efficiently in a fast-paced, high volume, creative environment with minimum direction under tight deadlines.
• Ability to anticipate the needs of the Executive Team and outside clients and associates.
• Display good judgment and ability to maintain confidentiality.
• Strong computer skills, including expert level MS Office (Outlook, Word, PowerPoint, Excel) required. In addition, must be adept at utilizing technology to improve work flow.
