SUMMARY OF POSITION
Sonar Entertainment, Inc. is a television development, production and distribution company that creates high quality television series, movies, and miniseries for audiences all over the world. Sonar is currently looking for an Executive Assistant to join its dynamic team in Los Angeles.
This position will report to the Chief Executive Officer and manage phones, travel and schedule for executive and coordinate internal and external meetings. The executive assistant must foster strong relationships and build trust across internal and external teams. The executive assistant is expected to be current on popular culture and the television industry landscape.
The ideal candidate thrives in a fast-paced work environment, can manage shifting priorities, be exceptionally well-organized, able to effectively multi-task & prioritize, and take initiative. He/she will be very hard-working, highly resourceful, detail-oriented, with a professional appearance and excellent interpersonal, phone and email etiquette. We are looking for someone with a very positive attitude.
The Executive Assistant's job responsibilities include:
- On-going calendar management and high volume scheduling
- Phone coverage - answer, screen and roll calls as appropriate
- Generate and track expense reports
- Coordinate travel
- Special research projects
- Provide administrative support to wider executive team on occasion
- Meeting setup and coordination, including quarterly board meeting
- Meet & greet clients
EXPERIENCE
• 5+ years relevant experience supporting senior level executives required
• Experience working in the entertainment industry required
• College degree a plus
KNOWLEDGE/SKILLS
• Strong proficiency in Microsoft Windows environment, including PowerPoint, Excel and Word
• Excellent written and verbal communication skills
• Ability to read, write and research
• Experience with Concur and Film Track a plus
OTHER ABILITIES
• Very strong planning, organizational, time management skills required; must be able to manage multiple tasks and meet deadlines
• Strong collaborative skills are necessary
• Demonstrated flexibility, information sharing, and anticipating needs is essential
• Must have strong competency in working with new technologies and systems
• Excellent ability to interact professionally with all levels of personnel and management required
• Solid understanding of popular culture and the television entertainment landscape
• Must be able to maintain confidentiality
• Must be detail oriented
• Must be a team player
• Must be able to work overtime, as needed
• Must be a confident individual who is a quick learner and self-starter
• Must be able to work independently with minimal supervision, and meet deadlines
