We are seeking an administrative assistant to join our business and legal affairs team. The Administrative Assistant will provide support to supervisor and department by performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Job Description:
What you will be doing:
• Manage and maintain supervisor and department schedules
• Prepare invoices, reports, memos, letters and other documents, using word processing, spreadsheet, and database software
• Read and review incoming memos, submissions, and reports, determining their significance and plan their distribution
• Open, sort, and distribute incoming correspondence, including faxes and email
• Greet visitors and determine whether they should be given access to specific individuals
• Prepare responses to correspondence containing routine inquiries
• Perform general office duties such as ordering supplies
• Make travel arrangements for supervisor and department staff
• What you need to have:
• A high school diploma or GED from an accredited institution.
• A minimum of 5 years of legal Administrative Assistant experience.
What we would like to have:
• An Associate's degree from an accredited institution.
• 7 years of legal Administrative Assistant experience.
• Proficient working with Microsoft Excel, Word and PowerPoint, MS Outlook.
• Attention to detail, accuracy, and strong organizational skills.
• Ability to act independently, responsibly, and professionally.
• Capacity to juggle multiple tasks in a fast-paced environment.
• Demonstrate excellent written and verbal communication skills with all levels of the organization as well as internal and external customers.
• Team oriented with the ability to collaborate with peers and cross-functional groups.
• Employees will also perform other duties and responsibilities as assigned.
