Administrative Assistant (Communications And Marketing)
POSITION PURPOSE: The Administrative Assistant provides overall administrative support to the National Director, Communications & Marketing and the National Director, Digital Strategies.
ESSENTIAL DUTIES & RESPONSIBILITIES:

• Receives and distributes phone calls, email and mail, and handles routine office administrative activities.
• Prepares expense reports.
• Schedules meetings and arranges conference calls.
• Coordinates travel arrangements.
• Assists with research of issues and initiatives.
• Creates and maintains computer documents and reports.
• Assists in organization of project files and general project management.
• Takes notes swiftly/legibly and transcribes as typed documents.
• Orders and maintains supplies for department; makes equipment maintenance requests as needed.
• Provides coverage for the Executive Administrative Assistant when absent or unavailable.
• Provides backup administrative support to the Chief Communications & Marketing Officer as necessary.
• Assists Executive Administrative Assistant with purchasing, accounts payable and finance interface.
• Assists other department team members as directed.
• Performs other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

• Must maintain confidentiality of documents and information.
• Able to communicate effectively in English, both orally and in writing.
• Able to use PC applications
• Working knowledge of Microsoft Excel and PowerPoint
• Detail oriented.
• Able to organize, prioritize and coordinate multiple tasks under daily deadlines.
• Able to work under pressure.
• Superlative interpersonal skills: degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally.
• Have an understanding and awareness of worker rights impacting SAG-AFTRA members.
• Hold yourself and others accountable for a high level of performance and integrity.
• Capable of taking direction from more than one supervisor.
• Must be able to work in a challenging environment where constructive feedback from others is encouraged.
• Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA's sole discretion.
• Must be available and willing to work extended hours (and/or overtime for applicable non-exempt positions) per day week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs.
• Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.
MINIMUM QUALIFICATIONS:
Education
and/or Experience:
• High school diploma, administrative training and/or an equivalent combination of education and experience.
• Bilingual English/Spanish highly preferred.
• Previous administrative support experience in a fast-paced environment preferred.
TESTING REQUIREMENTS:
• Basic skills: spelling, math, grammar and filing – passing score: 76%
• Microsoft Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
• Typing test 35 WPM
• Writing test
