About the Job
Leading feature film and television company located in Hollywood specializing in editorial equipment rentals, picture and sound mastering, dailies and engineering seeks experienced Scheduler with proven skill in scheduling, client communication, front desk and receptionist duties.
We currently have an opening for Scheduler. The position will be located in Hollywood, CA.
We want individuals who work well in a fast-paced, collaborative environment and can comfortably communicate with clients and co-workers. As an scheduler, you will be responsible for maintaining and managing the engineering and supporting teams schedules and company calendar. The ideal candidate will not only have excellent organizational skills but also be able to interface with supporting teams and clients for capacity planning, change management and issue resolution throughout our 24x7x365 mobile services operations.
Specific Duties
Manage the department calendars, schedule all meetings and appointments; prepare agendas and coordinate catering for luncheons and meetings
Answer and screen incoming phone calls; respond to inquiries, take detailed messages, and route calls to appropriate individual; arrange conference calls
Diplomacy and sensitivity when working and communicating with clients
Coordinate travel arrangements for upper management and other associates; book flights, hotels, dinner reservations, and ground transportation
File and electronically update the status of all projects, contracts and deal memos
Coordinate all internal meetings with upper management
Organize space planning, coordinate with Director Of Mobile Services engineering assignments
Prepare the office coffee, milk etc. as well as clean the coffee station
Ensure all office mail and packages are properly handled before leaving the office
Handle business and personal administrative tasks
Plan event logistics for office parties/dinners
Supervise the warehouse and the renting of contents in conjunction with the Director of Mobile Services
Manage inventory and order office supplies as needed
Other Related Skills:
Must have excellent client service skills
Good business writing skills
Organized, ability to handle heavy multitasking with ease
Pro-active
Detail oriented
Positive energy, can-do attitude, patience, and flexibility
Open to working some weekends and some late nights
Basic knowledge of Microsoft Office
This is an entry level position
