Job Title: Executive Personal Assistant/Office Manager
Location: New York, NY (Midtown Manhattan)

Executive Assistant/Personal Assistant Responsibilities:
• Provide personal and administrative support to the CEO
• Manage the CEO's daily calendar, coordinate meetings and ensure they remain on schedule throughout the day
• Phone coverage for the CEO
• Track both corporate and personal credit card information
• Coordinate both corporate and personal travel arrangements (communicating itinerary, confirmations and changes, if applicable)
• Update contact lists, mailing and distribution lists
• Run errands around NYC as needed
• Manage two personal Pay Trust accounts
• Maintain personal medical records and insurance for the CEO and his family, submit for reimbursement to carriers.
Office Manager Responsibilities:
• Organize meetings, provide updates, confirm conference rooms/dial-in numbers/video conferences
• Provide general administrative support including filing, copying, faxing, sending packages/letters, ordering supplies, handling messages and deliveries.
• Main point of contact for building issues
• Responsible for all other general office issues
• Track attendance via Excel spreadsheet as well as update the attendance calendar
• Maintain HR posters in mail room and other minor HR tasks as needed (will coordinate with main HR dept.)
• Assist the President, CFO and other executive officers with projects as needed
• Organize and track investor process as necessary which includes but is not limited to potential investor lists, preparing marketing packages, etc.
• Basic accounting functions as needed (could include data entry using Counterpoint or minor bill pay)
• Use in-house propriety software ''Publishers Toolbox'' to provide in-depth information about individual artists and titles.
Qualifications:
• Excellent written and oral communication skills
• Highly organized, detail-oriented, professional, self-starter
• Advanced experience using PowerPoint
• Intermediate to advanced experience with Excel and Word
• Experience using Mac
• Prior experience using Counterpoint preferred
• Ability to juggle multiple projects and priorities
• Proven ability to remain flexible, open and composed in a fast paced environment
• Must have a passion for music (have a background as a writer, composer, vocalist, instrumentalists is preferred)
Experience & Education:
• Bachelors Degree with a focus on music i.e. music minor, concentration in music or graduation from a music oriented educational institution.
• At least 1-2 years of administrative work experience preferably in the music publishing industry, otherwise in entertainment or marketing.
