Relativity Media is seeking an Executive Assistant to support the VP, Human Resources and the HR team. This is an ideal position for those seeking an entry-level opportunity to launch a career in human resources and talent acquisition. The ideal candidate will have prior administrative HR experience in an entertainment or digital/online setting, and a demonstrated ability to interact with staff at all levels in a fast-paced environment, under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism.
Key Responsibilities:
Successful candidate will perform administrative and HR support activities for a busy office, including, but not limited to:
• Answering calls and managing phone sheet for executive.
• Coordinating and managing executive's schedule, including organizing meetings, events, and conferences.
• Manage new hire orientation process, including creating new employee packets and conducting orientation to review company and benefits information.
• Data entry for all new hires, including payroll, benefits and 401k administration.
• Maintaining physical and e-files for all full-time employees and contingent workforce.
• Maintaining weekly and monthly HR reports, and fielding ad hoc report requests from the business.
• Fielding basic employee policy and benefits questions.
• Maintaining both existing discounts, as well as procuring new employee discount opportunities.
• Managing HR-sponsored events, such as benefits fairs, seminars and training opportunities.
• Post job openings and schedule candidate interviews for VP, Human Resources.
• Maintaining and updating company organizational chart.
• Coding and facilitating approval of all incoming departmental invoices for payment.
• Updating common area HR bulletins, including labor law posters, employee events, monthly birthdays and anniversaries.
• Fielding verifications of employment and working with Payroll, accordingly.
• Other team projects and duties, as assigned by VP, HR or HR Manager directly.
Required Skills/Qualifications:
• Bachelor's degree in Business Management, Human Resource Management, Psychology or related field required.
• 1-2 years previous media/entertainment/digital related experience is required.
• Excellent organizational skills and attention to detail, enabling the successful candidate to field many and various requests from both the HR team, as well as the business.
• Ability to take direction, and prioritize tasks and responsibilities within a dynamic environment.
• Proficiency in Windows operating system and MS Office (Outlook, Word, Excel, PowerPoint).
• Demonstrated ability to operate with the highest degree of discretion and confidentiality, and interact comfortably with all levels of the organization.
• Excellent phone demeanor and interpersonal skills, with the ability to interact well with others, and work effectively either alone or in a team setting.
• Must possess strong business writing skills.
• Willing to work some overtime, as required.
