Executive Assistant to President, Production
Relativity Media is seeking an Executive Assistant to support the President of Production. This is an ideal position for a seasoned and experienced professional that would like to pursue a career in creative development, acquisitions and/or feature production. The ideal candidate will have prior experience in an agency, production company or studio setting, have experience in and/or knowledge of the fundamentals of physical production and a demonstrated ability to interact with staff at all levels in a fast-paced and high volume environment, with a high level of professionalism.
Key Responsibilities:
Successful candidate will perform administrative and support activities for a busy office, including, but not limited to:
• Answering heavy volume of phones calls, rolling calls for the Executive, and managing phone sheet.
• Maintaining and updating business contact information.
• Coordinating and managing Executive's schedule, including organizing meetings, events, and conferences.
• Meeting and greeting talent, talent representatives, clients, partners, and other department guests.
• Reviewing, creating and managing travel and expense reports, and submitting to appropriate internal parties for payment.
• Coordinating document execution with appropriate internal parties.
• Document uploading, organization, and overall management of files and department documents.
• Coordinating travel arrangements for Executive and talent, as needed, including flights, lodging, vehicles, business appointments, and special events, as directed.
• Coordinating with Story department on submitted material for consideration for finance/development and/or acquisitions for distribution.
• Reading submitted material in a timely manner as needed and giving comprehensive notes and thoughts therein.
• Facilitating communication between all three Relativity production divisions, other branches of the Relativity family and Relativity corporate on all production related materials and updates.
Required Skills/Qualifications:
• Bachelor's degree in Film, Media, or related field required.
• 2-3 years previous agency, or other media/entertainment related experience is required.
• Knowledge of and/or experience in physical production and an understanding of its fundamentals.
• Strong knowledge of major industry executives, talent, film and media is required.
• Demonstrated ability to operate with discretion and interact comfortably with high-profile talent, executives and department guests.
• Prior experience with script coverage is required.
• Proficiency in Mac and Windows operating system and MS Office (Outlook, Word, Excel, PowerPoint).
• Knowledge of social media platforms and trends is a plus.
• Familiarity with troubleshooting issues with portable devices, such as phones and tablets, is a plus.
• Knowledge of technology, phones, internet, etc.
• Excellent phone demeanor and interpersonal skills, with the ability to interact well with others, and work effectively either alone or in a team setting.
• Ability to take direction, pay attention to detail, and prioritize tasks and responsibilities.
• A strong and flexible personality and willingness to work long hours are key for success in this role.
