Relativity Media has an immediate opening for an Executive Assistant to support two busy Business & Legal Affairs executives. This is a great position for a solid Executive Assistant candidate with a strong desire to learn about the business side of theatrical production, development, and marketing. The ideal candidate is a driven, motivated professional who operates with maximum efficiency and with utmost professionalism and discretion.
Key Responsibilities:
• Responsible for handling daily administrative functions for the Executive and other executive team members, including, but not limited to:
• Answering busy phone lines, rolling heavy calls, answering inquiries and fielding requests for information; must be familiar and comfortable with high call volume.
• Organizing daily calendar for Executives; ensuring all meeting locations and information are up-to-date and sending daily meeting/appointment reminders.
• Coordinating the Executives' business travel arrangements including flights, lodging, vehicles, business appointments, and special events, as directed.
• Preparing drafts of legal documents from templates, as directed.
• Inputting revisions to documents, as directed.
• Checking legal forms for accuracy.
• Preparing correspondence.
• Maintaining confidential information.
• Maintaining travel & expense reports, and corresponding databases.
• Filing and retrieving corporate documents, records, and reports.
• Maintaining and updating business contact information.
• General administrative tasks, such as client gifting, office supply inventory management and ordering, IT troubleshooting, and/or liaising with IT help desk.
• Other various administrative projects and tasks, as necessary.
Required Skills/Qualifications:
• Bachelor's degree in Business, Management, Film, Media or related field is required.
• Minimum 1-2 years of work-related experience required, preferably within a studio, agency, digital media agency, production company, or law firm.
• Must possess demonstrated ability to take direction, pay attention to detail, be proactive and resourceful, self-driven, and prioritize tasks.
• Must possess exceptional verbal, written and interpersonal communication skills, marked by a high level of professionalism, diplomacy, discretion, composure, and poise.
• Prior experience and proven methodologies for understanding and anticipating Executive's needs to optimize efficiency, organize work, and quickly course-correct, if challenges are presented.
• Ability to exercise sound judgment while managing competing & demanding priorities.
• Proficiency in Windows operating system and MS Office (Outlook, Word, Excel, PowerPoint).
• Familiarity with troubleshooting issues with portable devices, such as phones and tablets, is a plus.
• Knowledge of technology, phones, internet, etc.
• The successful candidate must be able to work overtime, if needed.
