We are seeking an experienced executive assistant to provide support to the President, Theatrical Marketing at Relativity EuropaCorp Distribution, supporting the releases of films from both Relativity Studios and EuropaCorp. The ideal candidate will have studio experience and a willingness to learn and adapt. Our candidate must be a team player and able to pitch in whenever needed. Looking for someone with exceptional interpersonal communication who can problem-solve and properly manage time, keeping executive on track.
Duties and Responsibilities:
•Partner with Marketing Executives on day to day campaign management and management of troubleshooting issues to maximize campaign performance
•Maintain executive's complex schedule by planning and booking meetings, conferences, teleconferences, events, vacations, and travel, both domestic and international.
•In the executive's absence, handle actions or route actions to proper associates; follow up; report actions taken and results to executive
•Anticipate executive's needs and proactively contact appropriate people and resources to support the executive.
•Follow up on completion of activities to ensure deadlines are met; such as meeting follow ups, requests for information, projects, etc; report actions taken and results to executive
•Execute a variety of personal and professional projects with a sense of urgency and thoroughness, report actions taken and results to executive
•Handle confidential material with utmost professionalism.
•Lead and manage complex travel that changes frequently, report actions taken and results to executive
•Roll Calls, Screen phone calls, emails, mail, and visitors; route and resolve information requests and approvals
•Draft business correspondence emails, meeting requests, thank you notes etc.
•Prepare and submit expense reports, create and maintain department files
•Research and compile filmmaker information, past trailers, posters and campaign materials
•Keep abreast of and report on industry insights into current news and trends in entertainment with emphasis in motion pictures.
•On-call support required for after-hours duties, ordering meals, coordinating the picking up and dropping off of items
•Support Executive with ad-hoc tasks as needed
Qualifications:
•2+ years of work experience in an executive support role
•Bachelor's Degree
•Fast learner and excellent problem solver
•Self-starter who seeks out opportunities to improve organization and efficiency
•Ability to remain high-energy and positive in a fast paced environment
•Strong organizational and prioritization skills
•Passion for helping - no job is too big or small mentality
•Excellent verbal and written communication skills
•Proficient with Microsoft Office programs
•Proficient with Google programs (Drive, Docs, Sheets...)
