Executive Assistant

Job Description: The Executive Assistant will provide support to a Co-Chief Executive Officer of Recreation Worldwide and office administrative support for the larger Recreation Worldwide team. The position requires the ability to prioritize between scheduling, answering phones, administration/office upkeep, creating presentations, and other various tasks as assigned. The Executive Assistant is extremely professional and has good judgment to exercise discretion, as the position will often be on the front lines of communicating with a diverse level of internal/external contacts of all levels (support staff to executives) and be performing duties that are generally complex and confidential in nature. This is a growth opportunity for the right candidate who will work side by side with the various teams at Recreation Worldwide.
Job Duties/Responsibilities:
• Provide administrative support to Co-Chief Executive Officer. Specific duties may include: scheduling and maintaining calendars, booking travel arrangements/reservations, coordinating calls and meetings/appointments, maintaining files, answering and screening calls, and other special projects as needed.
• Maintain office supply levels and coordinate requests for office supplies, both on a need-basis and anticipation-basis.
• Act as liaison between internal senior-level employees and external contacts to execute assignments and represent Co-CEO in a professional and efficient manner.
• Coordinate budgeting and booking for all RW team travel for large artist events. Responsible for gathering information on each division's travel plans and needs, analyzing cost-effective solutions, and budgets for senior-management approval.
• Prepares reports by collecting and analyzing information.
• Provide personal assistance on various projects and activities.
• Greets guests, clients and partners both in-person or via conference calls, and screens inquiries as necessary.
• Keep current on company-wide projects, events, and issues and provide updates.
• Additional duties as assigned.
Job Requirements:
• At least 1 year experience in a high-paced administrative role with strong professional demeanor, preferably within the music/entertainment industry
• College degree required
• Ability to handle confidential information and interact with high-level executives a must
• Position may require overtime. Candidate must be available for overtime
Skills/Qualifications:
• Key competencies: Organized, Efficient, Independent, Strategic, Resourceful, Flexible
• Strong technical proficiency: PC/MAC, Microsoft Office (Word, Powerpoint, Excel spreadsheets), Keynote (presentations), etc.
• Supply and database management
• Empathetic problem-solving
• Excellent verbal and written communication skills
