Role:
The Office Coordinator provides administrative support to the entire company. Most of these responsibilities will relate to day-to-day operations rather than specific projects. This position reports to the Operations Manager.
Responsibilities:
• Serve as primary contact for office-related vendors - maintenance and cleaning services, phone systems, alarm service, company-branded swag items suppliers, health insurance broker
• Cover phones when receptionist is unavailable - primarily from 8am-9am daily and 1 hour during lunch
• Set up and maintain company Wiki information
• Order office supplies and equipment as needed.
• Ensure lobby, kitchen, main office areas are fully stocked, organized and presentable
• Manage phone system setup and maintenance
• Coordinate procedures for opening & closing the office including alarm codes and distribution of office keys
• Update and distribute company directory
• Update and maintain company contact database
• Coordinate schedule and maintenance of company vehicles
• Coordinate company medical benefits - initial paperwork, claims assistance, yearly policy renewals
• Assist new hires with paperwork and orientation
• Coordinate temporary housing for employees
• Assist in coordinating company-wide internal events, including but not limited to holiday parties, monthly lunches & quarterly team-building events
• Arrange low weight shipping with FedEx, UPS, USPS
• Maintain the print-room printers and fax machine
• Assist in upholding and updating company policies
• Assist and support Operations Manager with various administrative needs
• Assist Owners with personal errands and projects
• Provide company-wide general project support as required
• Other administrative duties as assigned
Requirements:
• Comfortable working in a technical field
• Extremely organized
• Meticulous attention to detail
• Advanced knowledge of Excel, Word & email programs
• Excellent oral and written communication skills
• Patience
• Standard hours are 8am-5pm, but additional hours are occasionally necessary
PREFERRED:
• Knowledge of and interest in professional sports
• Knowledge of Adobe Creative Suite
