The Consumer Products team mission is to deliver quality products that bring to life the stories and characters created by Pixar Animation Studios to consumers around the world. The team encompasses product development, creative asset development, and building strong relationships across the organization. The Assistant supports the entire Consumer Products (CP) team.
RESPONSIBILITIES:
• Maintain a committed partnership with the CP Creative Director and CP Manager. Communicate daily scheduling and project changes, while anticipating needs and proactively updating the Department Lead with any developing issues
• Own and maintain CP department calendar. Schedule all recurring team meetings and keep all stakeholders on schedule. Manage day-to-day schedules of Department Manager, Creative Director, and Senior Designer and all team meetings. Serve as the primary contact for department scheduling needs for both internal meetings and external Disney agendas
• Prepare agendas and all relevant review materials for all CP department meetings and reviews. Organize meeting material and print documents ahead of reviews. Keep material on server organized and accessible
• Schedule reviews, take notes during meetings, shift schedules and implement changes based on an understanding of the department and production priorities.
• Coordinate with other Pixar department managers for their artists' time and resources as needed. Prioritize and negotiate for other competing studio resources in a shifting and fast-paced environment
• Coordinate logistics for on/off-site meetings, social events, and morale/team building events
• Coordinate and set up all remote Video Conference Meetings with all Disney Creative Partners around the world. Keep up to date on all Video Conference technologies in order to have alternative solutions when VTC rooms are unavailable
• Assist in coordination and execution of Pixar CP team video conferences, presentations and screenings: this includes troubleshooting, room set up and scheduling, catering, and registering and greeting guests
• Serve as the department host for all Disney teams visiting Pixar.
• Coordinate with Production and Legacy teams to oversee scheduling and facilitation of all creative reviews including Master Toy Licensee, Global Creative, Disney Stores and other department meetings. This includes preparing agendas, scheduling rooms and communicating all relevant information to the appropriate stakeholders in a timely manner
• Work directly with toy licensees to coordinate CP Creative Director's attendance at key brainstorms and line reviews
• Support CP team with travel planning, itineraries and expense reports; know/anticipate all upcoming toy fairs, industry conferences, (etc.) which key team members need to attend
• Keep current on department projects. Maintain a strong and positive relationship with outside partners, both domestic and international. Check-in regularly to confirm our partners' travel dates and upcoming agendas in order to establish a scheduling time frame for pertinent meetings
• Provide thorough, professional and empathetic communication
OPERATIONAL SUPPORT:
• Have a working knowledge of each department project and their external players
• Develop property specific knowledge of Pixar films by attending screenings and key product development team meetings
• Assist with travel planning, itineraries and expense reports for Production staff who facilitate screenings for DCP and key retailers
• Assist team in shipping of Consumer Products materials to partners as requested
• Support with planning and execution of all-day Retailer events as well as the annual CP Product Showcase
• Manage all department American Express and cash expense reports for managers and artists
• Have a working knowledge of the Pixar pipeline and its asset based structure and be available to assist in sending relevant material to our outside partners
• Keep up to date on the latest studio software and technical resources and fill in as needed in running screening rooms, taking notes, and updating the Traction databases
• Coordinate and plan travel as needed for the department. Schedule pertinent off-site meetings with our Disney Partners. Manage/book all travel, including flights, ground transportation and hotels. Create and distribute itineraries
• Highly responsive to all requests and communications
• Actively participate in the Pixar assistants' community
• Create and support a friendly and professional atmosphere within office
PIXAR/DCPI LIASION:
• Stay in close communication with Glendale based SVP assistant, provide support to SVP when at Pixar
• Facilitate any senior level or event based product requests
QUALIFICATIONS:
• Minimum of 2-3 years of administrative / office work
• Bachelors Degree Preferred
• Strong attention to detail is critical
• Excellent interpersonal and relationship building skills
• Ability to manage multiple projects and processes is crucial.
• Proven ability to anticipate needs and proactively address issues or concerns
• A mature, motivated self-starter and team player with strong organizational skills attention to detail
• Must be able to multitask changing agendas and schedules while keeping all teams up to date
• Superior interpersonal skills in both verbal and written communications and a professional presentation
• Comfortable dealing with people at all levels to develop and maintain relationships
• An interest in Animation and Consumer Products
• Ability to prioritize multiple requests and projects in fast-paced, deadline driven environment
• Adaptable to ever-changing circumstances, situations, and people
• Willing to take initiative and resolve problems creatively and resourcefully
• Both a strong team player and an autonomous independent worker
• Proficient in Microsoft Office, PowerPoint, Keynote, email and iCal. Knowledge of Pixar internal systems a (focus/folio, Wiki, etc.)
