WHAT ARE YOU SIGNING UP FOR
The Administrative Assistant will support the Operations Department in the coordination and management of overall office and staff needs to ensure that PEDG's operations remain productive and fluid. You have keen attention to detail, the ability to multi-task, a strong work ethic and initiative, and a willingness to learn and adapt to a fast-paced design environment. We want someone who is quick to lend a hand, takes initiative in keeping our office clean and comfortable, since we spend so much of our time here. This position requires the ability to travel locally for purchasing, shipping, supply pick-up etc. This is an in-house, full-time or part-time position. Our office is located in Lancaster, Pennsylvania.
RESPONSIBILITIES
• Inventory Management of office supplies: budgeting, researching, purchasing, shipping, stocking, organizing
• Coordinating office shipments and deliveries
• Researching, pricing, and contracting local vendors (i.e. HVAC, internet, cleaning, software, phone)
• Organizing and scheduling donations/deliveries
• Office maintenance: cleaning, organizing, and updating
• Travel Coordination: Managing or coordinating with a travel agent regarding all staff travel including: train, rental cars, air travel, hotel and car services
• Data Entry: Inputting data into office programs for scheduling, tracking, information sharing, etc.
• Note taking on conference calls as needed
• Aid in the coordination of the company schedule and calendar
• File maintenance
• Caring for the office staff
• Assisting in the coordination of office outings, meals, holidays, celebrations, etc.
• Assisting in the coordinating of office visitors, clients
TECHNICAL SKILLS AND REQUIREMENTS
• Strong working knowledge of Microsoft Office Suite and Mac Computers
• Strong working knowledge of Google Calendars, Dropbox, project management software
• Working knowledge of Keynote and PowerPoint
• Working knowledge of Adobe Suite preferred but not required
• A valid driver's license and personal vehicle
