HollywoodLife, a leading digital brand within the rapidly expanding Penske Media Corporation (PMC), has an immediate opening for an Administrative Assistant to support the President and Editor-In-Chief of HollywoodLife com. We are looking for a smart, polished, energetic and versatile professional to support Bonnie Fuller on all day-to-day tasks in our fast-paced Times Square newsroom.
Our ideal candidate will be detail-oriented, self-motivated, and able to handle him/herself professionally in all scenarios that can occur in a fast-paced setting - always with grace, professionalism, and complete confidentiality. Our ideal candidate is the sort to thrive on a challenge and he/she knows how to juggle priorities. Responsibilities:
• Heavy calendaring (including arrangement of complicated daily calendar with meetings, logistics, details, meeting materials, etc.) for busy executive, including coordination of TV appearances and media events.
• Gracefully route and respond to high volume of phone calls, transactions and email inquiries.
• Travel booking.
• Interact and communicate with all levels of employees, executives, and talent.
• Run errands, both professional and personal, as needed.
• Maintain daily call sheet and schedule.
• Approach work with 24/7 mentality.
• Calmly diffuse potentially negative outcomes through your professionalism, thinking on your feet, and putting your innovative problem solving skills to work.
• Act as a professional representative of the company, whether in the office, attending an event, or communicating verbally or in writing at all times.
Desired Skills and Experience
*At least TWO years of experience in fast-paced office.
• Excellent written and verbal communications skills, with ability to proofread write polished, professional email.
• Organizational, analytical, time management, and multi-tasking skills.
• Exceptionally strong attention to detail and proactive problem-solving approach to all situations.
• Teamwork-minded - we work as a team and need you to, also.
• Proficient in Microsoft Office, PC, MAC and Blackberry/iPhone administration.
• Flexible, positive, can-do attitude that allows for a constantly changing business landscape each day.
• Have a thick skin when necessary or a soft-touch as required - and have the ability to discern in what situation each applies.
• Professional appearance and approach at all times.
