Operations Manager - Partos Company
Background:
A below the line talent agency, situated in Santa Monica, is looking for a motivated, results-oriented, collaborative professional to fill the role of Operations Manager. This is a full-time position.
Job Summary Statement:
Under the direction of the agency owner and talent agents, the Operations Manager will have the following professional responsibilities and duties:
1. Drafting and finalizing deal memos for agents on behalf of represented Artists for booked projects. Follow-up to ensure all deal
memos are signed within the appropriate timeframe.
2. Using In Entertainment software, ensure proper accounting of all projects; this includes invoicing, timely accounts receivable, and
accurate payment distributions.
3. Tracking all active projects, bookings, accounting records, accounts receivable using in Entertainment software.
4. Overseeing and managing multiple projects to ensure proper and timely completion of tasks and duties relating to each project, such
as procuring timecards, call sheets, etc.
5. Interacting with agency staff at various levels, interacting with external professionals from various entertainment settings, such as
producers, directors, etc.
6. Interacting with the company's bookkeeper to ensure accurate financial accounts.
Type of Supervision Received/Exercised:
Work is performed collaboratively, with minimal supervision. The successful incumbent is expected to complete tasks and assignments by planning timeframes, and organizing workload to meet shifting priorities. The nature of the position is fast-paced, interactive, and collaborative. The successful candidate must exhibit great interpersonal skills, and is able to execute tasks with firm deadlines.
Core Functions & Duties
Operations Management
1. Construct and execute deal memos with responsible agent(s) on each incoming project. Track deal memos, obtain approval and
signature from producer.
2. Create and monitor accurate accounting records for each booking using In Entertainment. Accurate and timely tracking of each
accounting record of a booked project.
3. Invoice production companies. Follow-up to obtain correct payments. Apply payments and distributions properly and accurately.
4. Generate New Artist Package for new Artists, including General Service Agreements, check authorization forms, etc.
5. Facilitate Immigration petitions on behalf of Artists.
6. Liaison with payroll companies to ensure proper payments
7. Answer office telephone and transfer calls with ease during regular work.
8. Perform other related duties, as assigned.
Personnel Management Activities
1. Oversee all interns in the office.
Job Requirements/Preferences:
1. Bachelor's degree in related field Preferred
2. Knowledge and understanding of In Entertainment Software. Required
3. Knowledge of entertainment language and nomenclature. Required
4. Demonstrated computer skill/abilities: excellent word-processing Required
skills, database management, email, and cloud-based storage,
such as Google Drive.
5. Ability to work efficiently and complete tasks with a high degree of accuracy and timeliness. Required
6. Ability to concentrate and focus on tasks in a work environment that contains distracting stimuli Required
7. Strong interpersonal communication skills to effectively and diplomatically interact
with others with completeness and transparency. Required
8. Strong written and oral communication skills. Must be able to effectively communicate
via emails and telephone calls with a diverse people the company has dealings with Required
9. Ability to work and solve problems with minimal supervision. Required
Must have the ability to perform tasks by using broad knowledge overview of the
entertainment business and apply concepts within context.
10. Ability to multi-task and prioritize effectively to meet firm deadlines. Required
11. Use of discretion in confidential matters. Required
12. Experience in event and meeting organizing, coordination and public relations Preferred
