Participant Media is looking for an organized and experienced Assistant to provide day-to-day support for the company's Sales & Distribution team. This individual will work directly with the SVP & VP of the department to provide scheduling, financial, and operational support and resources to achieve sales & distribution corporate and strategic goals. Additionally, this assistant, should be able to anticipate needs, think through all details with little oversight and support the overall vision, mission and mandates for the company.
Responsibilities:
• Support the day-to-day operations of SVP, Sales & Distribution and the VP, Sales & Distribution
• Schedule and prioritize internal/external meetings and coordinate meetings.
• Coordinate extensive domestic/international travel arrangements, including scheduling for film/TV festivals and markets.
• Monitor incoming/outgoing calls and maintain call sheet.
• Prepare outgoing mail and correspondence including emails, faxes and couriers.
• Organize and maintain confidential/critical documents.
• Greets guests and ensure that their business requirements are met.
• Maintain office organization.
• Process cash expense reports and credit card reconciliations.
• Process necessary P-Card requests.
• Provide materials for meetings.
• Relay relevant company information to all internal groups and external organizations and invitations in an organized and timely matter (e.g. Communications Calendar, etc.).
• Implement smooth operation of the SVP, Sales / Distribution & the VP, Sales / Distribution business related accounts.
• Receive and digitally file all sales/distribution related documents including but not limited to: budgets, sales materials, box office reports, etc.
• Disseminate all sales/distribution correspondence to appropriate groups, internal and external.
• Track sales titles; maintain buyers/screenings grids and databases.
• Track windows and release dates of new and library films.
• Assist with building of presentations and researching background on film releases and sales.
• Prepare weekly box office reports.
• Read trades daily for sales / distribution related news.
• Help create and maintain project timelines.
Qualifications:
• 1 year of experience as a personal assistant or executive assistant preferred.
• Background in Independent Film Sales, Distribution, or other Film related field required.
• Film Market and Festival knowledge required.
• Proactive problem solver.
• Strong organizational skills.
• Excellent business writing and communication skills.
• Experience with travel coordination required.
• Intermediate Microsoft Office Skills (Outlook, Word, Excel, & Powerpoint - Keynote is an acceptable alternative to PP), Intermediate Mac OS and Mac software skills (iCal, Mail).
• Experience with Rentrak / Comscore a plus.
• Foreign language a plus.
• Experience with Photoshop a plus.
