Assistant, Film Marketing & Acquisitions/Distribution
Responsibilities:
• Support the day-to-day operations of SVP, Film Marketing & the VP, Acquisitions/Distribution
• Schedule and prioritize internal/external meetings and coordinate meetings
• Coordinate domestic/international travel arrangements
• Monitor incoming/outgoing calls and maintain call sheet
• Prepare outgoing mail and correspondence including emails, faxes and couriers
• Organize and maintain confidential/critical documents
• Greets guests and ensure that their business requirements are met
• Maintain office organization
• Process cash expense reports and credit card reconciliations
• Process necessary P-Card requests
• Provide materials for meetings
• Relay relevant company information to all internal groups and external organizations and invitations in an organized and timely matter (e.g. Communications Calendar, etc.)
• Implement smooth operation of the Film Marketing Executive and Acquisition/Distribution Executive's business related accounts
• Receive and digitally file all marketing and acquisitions/distribution related documents including but not limited to: budgets, press kits, research reports, acquisition/distribution screening reports, etc.
• Disseminate all marketing and acquisition/distribution correspondence to appropriate groups, internal and external
• Coordinate domestic/international third party travel when necessary
• Track acquisition titles; maintain buyers/screenings grids and databases
• Track marketing closet inventory
• Oversee daily duties of Film Marketing/Distribution interns
Qualifications:
• Background in Independent Film Marketing, Publicity, or other Film related field
• Intermediate Microsoft Office Skills (Outlook, Word, Excel, & Powerpoint - Keynote is an acceptable alternative to PP), Intermediate Mac OS and Mac software skills (iCal, Mail)
• Problem solving skills
• 1 year of experience as a personal assistant or executive assistant preferred
• Experience with travel coordination
• Film Festival knowledge a plus
• Experience with Photoshop
