Full Time Job
The Travel and Accommodations Coordinator reports to Manager, Travel and Accommodations and is responsible for organizing, negotiating and booking all travel needs for the 850 remote productions the Pac-12 Networks will televise. The position is based in the Pac-12 Network Studio/Offices located in San Francisco.
RESPONSIBILITIES:
• Coordinates travel and accommodation needs for over 850 remote productions for all assigned freelancers, on-air talent, and staff who are pre-authorized to travel to a Pac-12 event
• Maintains and updates flight, rental car, and hotel databases for all Pac-12 Networks remote travel
• Must keep up with the latest developments in the travel industry as well as television job functions
• Build and maintain relationships with vendors within the Pac-12 footprint
• Communicates and coordinates the systems, protocols, and procedures for remote production T&E policies to ensure efficiency and accountability for all remote event productions
• Provide Production Managers with detailed crew & talent travel arrangement costs for each remote event
• Reconcile all travel cost invoices by coding each expense to the related event
• Ability to work well with all departments within the company
• Other duties as assigned
REQUIREMENTS:
• Must be familiar with hotel chains, rates, and accommodation options at all 12 Pac-12 University cities, nearby airports, and San Francisco
• Must be familiar with the operations and schedules of modes of transportation such as airlines, rental cars, etc. throughout US
• Bachelor's Degree or equivalent work experience
• Effective interpersonal skills; good judgment and ability to interact with different levels of management, freelance hires, on-air talent, and staff personnel
• Ability to effectively manage numerous projects simultaneously while under very tight deadlines
• Must be able to work weekends during certain times of the year
• Demonstrates ability to prioritize under time constraints and work successfully in a fast-paced environment
• Experience working in a culturally diverse organization and supporting the values held by our unique employees, clients, sponsors, university faculty, and fans
• Must be self-disciplined and self-motivated and have the ability to comprehend extensive production operations and schedules
• Organization and time management skills are essential to ensure travel details are fulfilled and on budget
• Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, as well as Google Docs
• Strong phone skills are required
• Passionate about Pac-12 and Collegiate Sports
• Knowledge of sports remote travel and production requirements a plus
