OddLot Entertainment and Madison Wells Media (MWM) seek a highly engaged candidate who is capable of handling two busy executive desks phones, scheduling and calendar management. OddLot is the Film and TV Division, of MWM which is a diversified premium content company that delivers elevated, story-driven entertainment experiences to consumers worldwide across a variety of media platforms including film, television, VR/AR and live events and digital media. We currently have an opening for an executive assistant to assist both our OddLot COO and the MWM EVP Strategic Planning and Corporate Development.
We seek a highly engaged candidate who is capable of handling two busy executive desks phones, scheduling and calendar management. Additional responsibilities include but are not limited to the following:
PRIMARY RESPONSIBILITIES:
• Handle all administrative matters and executive support related tasks for two senior executives
• Heavy scheduling and calendar management utilizing Outlook for internal and external meetings, including updating contacts, and greeting guests
• Roll calls, coordinating ad-hoc and scheduled conference calls, and manage call lists
• Coordinate meetings, reservations, badges and travel for festivals and conferences
• Complete monthly credit card expense reports and manage back-up receipts
• Book travel and make other reservations and appointments as needed
• Special projects for EVP Strategic Planning & Corporate Development including but not limited to research, website management/updating and other ad-hoc tasks
• Regular ongoing film comp research assignments, and other film related research for the COO of Film & TV
SECONDARY DUTIES:
• Organize and confirm the weekly Wednesday Film/TV Exec Meeting, including preparing conference room, dialing into Skype, etc.
• Act as backup to oversee general office events such as birthdays, parties, etc.
• Keep office bar cart stocked / help prepare and oversee office happy hours.
• Oversee necessary maintenance of company pinball machine
PRINCIPAL WORKING RELATIONSHIPS
Direct supervisors are: Chief Operation Officer Film and TV and EVP Strategic Planning and Corporate Development
QUALIFICATIONS:
The ideal candidate will possess the following knowledge, experience, and skill-set:
• Minimum of 1 year of Entertainment/Industry assistant experience in film strongly preferred.
• Bachelor's degree.
• Ability to work independently and as part of a team and take on new tasks with high level of difficulty.
• Proficiency with Microsoft Office and other common PC applications.
• Outstanding Communication (written and verbal) and excellent interpersonal skills
• Ability and willingness to interact effectively with a range of constituencies within and outside the department and divisions. Ability to be an effective team member and juggle multiple priorities and several concurrent projects.
• Extremely organized and detail-oriented with ability to prioritize and plan ahead to meet deadlines, without hesitancy to ask for direction or assistance/guidance from supervisors.
• Excellent planning, organizing, and project management skills.
• Comfortable in taking on new tasks, handling multiple tasks simultaneously in a deadline driven department.
