Office Assistant & Coordinator - Commercial Production Company
Description
We are currently in search of an Office Assistant & Coordinator to support out Production team at our Santa Monica office.
The ideal candidate has to be energetic, dependable, friendly, and an organized multi-tasker with a strong understanding of the production of Commercials and short form video content. This position works closely with our Executive Producers. He or she will organize and coordinate executive outreach and communication, oversee special projects and maintain and coordinate communication between our sales representatives, freelancer crew and staff and vendors.
The Office Assistant must be creative and enjoy working within a large, entrepreneurial environment that is results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, have strong written and verbal communication skills, administrative, and organizational skills, and the ability to maintain a workflow among multiple priorities. The Office Assistant must be able to work under pressure at times to handle a wide variety of activities and maintain confidentiality with certain matters.
Responsibilities:
- Complete a broad variety of administrative tasks including but not limited to: managing an active calendar of appointments; managing of internal and outreach communication by the executive team, arranging and organizing complex and detailed costs estimates, travel plans, itineraries, and agendas.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the executive team.
- Provide a bridge for smooth and effective communication between the executive team and Freelancers and or vendors; maintain credibility, trust and support with the executive management team.
- Work closely and effectively with the executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritize and resolve conflicting needs; handle matters expeditiously, proactively, and with follow-through on projects to successful completion, often with deadline pressures.
Qualifications:
- A minimum of one year of experience in Film/Commercial production;
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
- Very strong interpersonal skills with excellent written and verbal communication skills;
- Demonstrated proactive approaches to problem-solving;
- Highly resourceful team-player, with the ability to think independently within the context of an overall brief;
- Proven ability to handle confidential information with discretion, be able to manage competing demands, and demonstrate the highest level of service and response;
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment;
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms;
