Job Summary
The Stadium Operations & Planning Manager will assist the Director of Stadium Planning and Special Projects with the coordination of the logistical and functional activities for non-baseball events, inclusive of all non-baseball sports. Assist the Director with stadium planning including construction, procurement and project management.
Primary Responsibilities:
• Coordinate the logistical and functional needs for assigned non-baseball events and assist the Director with the major non-baseball events, as needed
• Assist the Director in the development of event policies and procedures; monitors adherence on an on-going basis; suggests changes in policies/procedures as needed or to enhance effectiveness and efficiency; distributes policies/procedures to staff, contractors and service providers; ensure understanding and monitor compliance; refer to compliance issues to appropriate Manager/Supervisor
• Manage the Event Coordinator(s) and further assign event responsibilities to these Event Coordinator(s) for approved events
• Serve as stadium operations Manager on Duty at each assigned event
• Coordinate the staffing requirements of all event staff including security, police, ticket takers, ambassadors, trades and other departments necessary to effectively manage a non-baseball event with all applicable department managers
• Calculate, prepare and submit estimated billing statements for review and submission. Track all billing expenses in ABI and provide monthly reporting on all expenses
• Provide information to operations and support staff including audio-visual, telecommunications, set-up, custodial, maintenance, security and ticketing personnel
• Manage the integration of stadium events with outside contractors including catering services, concessionaires and other services
• Prepare written documents detailing requirements for each event, including a thorough event synopsis and after action and written evaluations following each event. Prepare supporting documentation for each event and distribute to appropriate staff
• As needed, assist the Director with preparing floor plans and ensure compliance with applicable fire, building and safety codes
• Communicate event details and update all changes before and during events to all applicable department managers
• Assist the Director with special projects including, but not limited to: construction planning, budgeting, procurement and permit coordination
• Maintain and update the stadium permit file system, as needed.
• Maintain, manage and operate the e-docs system for project coordination and management
Qualifications and Experience:
• Bachelor’s degree in Business, Hotel Management or related field
• A minimum of 6-8 years of event management experience; preferably in a sports stadium
• A minimum of 4 years of project management experience in construction, architecture and procurement
• Proven managerial experience
• Knowledge and experience with DOB application process, occupancy, codes, PA and TPAs rules, regulations and policies
• Ability to multitask and prioritize
• Proficiency in MS Office suite (Word, Excel, Access and PowerPoint)
• Requires continual attention to detail and high level of organization
• Strong written, verbal and interpersonal skills
• Ability to maintain confidential and sensitive information
• CAD experience preferred
• Flexible work schedule
