New Wave Entertainment is looking for a Hi-Level, Experienced Assistant for our Talent Management Company (2 Managers). Individual must be a self-starter with proven problem solving skills, very detail oriented, extremely efficient and well organized. Candidate must have a genuine interest in talent management, production/development and a professional attitude.
JOB RESPONSIBILITIES
• Phone management (e.g., roll phone calls, transfer, conference, lead a conference call)
• Calendar management, scheduling meetings, etc.
• Expense reports
• Travel arrangements & advancing for stand-up comedy dates
• Filing and file systems development
• Conducting research and analysis in support of projects
• Preparing presentations (PowerPoint), spreadsheets (Excel), & documents (Word)
• Drafting correspondences
• Liaising with internal staff at all levels and external clients & partners
• Input and maintaining grids for all incoming money for management department
• Responsible for invoice and tracking of client payment
• must be detail oriented to make sure accounting department numbers align with what you have
• ACCOUNTING HEAVY desk for typical Hollywood job, comfortable with numbers
• tracking and recording all outgoing client submissions
• Understanding of FileMaker and maintenance and input of staffing needs and contacts
DESIRED SKILLS & EXPERIENCE
• At least 3 years of prior executive administrative assistant experience (this seems highly unlikely to me but if that's what they asked for)
• Associate's/Bachelor's degree preferred
• Highly professional with excellent judgment
• Strong ability to liaise with key senior-level executives
• Ability to work under pressure and in a fast-paced environment
• Can-do, positive attitude and willing to ''go the extra mile''
• Critical attention to detail and highly organized, while still thinking ''big picture''
• Team player
• General business knowledge and interest in media and entertainment business
• Strong proficiency in Excel, PowerPoint, Outlook, Word, & Internet research
• Able to organize transaction documents for multiple deals
• Capable of managing several projects simultaneously with minimal supervision
• Compile weekly reports via industry databases
• Prior talent agency or talent management company experience required
