Full Time Job
The Scheduling Specialist will oversee and maintain the National Geographic Magazine scheduling database and editorial calendar. He/she will create monthly editorial workplan, setting deadlines and printing production schedule. Tracks content development and related activities to help ensure a smooth workflow for all production phases. This role serves as database administrator, maintaining the centralized magazine databases with article information from inception to publication for NGM print and digital versions.
Requirements
• Provide Editor in Chief and Executive team members detailed information on status of all print and digital articles; helps update workflow and print production deadlines
• Prepare timely and accurate reports highlighting production problems and flagging potential issues; helps evaluate scheduling options and provides solutions
• Create monthly printing form and signature breakdowns, establishing deadlines for all production phases of articles, monthly issues of NGM, and others as needed
• Update breakdowns and modify deadlines as scheduling changes occur and communicate to staff and printing facility any relevant updates or changes
• Timely, consistent deadlines and workflows help set expectations for editorial staff; a flexible process that accommodates changes helps set priorities
• Works closely with Managing Editor and Creative Director to help manage page budget and printing schedules
• Attends Board Review meetings with executive editors and updates database and communicates changes to all staff
• Work with technology and magazine administrative staff to design, develop, and implement database solutions for all NGM departments
• Coordinate with departments to align workflows and track article records with accurate and current information from article inception to publication
• Administer an easy-to-use, updated database that readily provides information for editorial staff across all departments, and help ensure deadlines are met
• Utilize the editorial database to track and monitor compliance with editorial deadlines; coordinate with departments when deadlines are not met and update executive team with the appropriate information
• Schedule NGM meetings and maintain editorial calendar.
• Use the magazine database to track NGM editorial page budget and provide the monthly paper requirements to purchasing
• Accurate tracking of monthly page budget, story category breakdown, and worldwide pages printed.
• Communicate deadlines, changes to the editorial schedule, and follow up on whether or not tasks have been completed, and communicate progress on meeting deadlines
• Tracking text and photo completion dates
Qualifications:
• Bachelor's degree
• Strong written and verbal communication skills are necessary
• Basic math skills in order to track page budgets and printing forms
• Extensive PC skills: Word, Excel, Adobe Acrobat a high-level knowledge of database development, FileMaker Pro preferred. Knowledge of printing production desired
• Ability to track and manage a wide variety and array of departments and different deadlines
