Full Time Job
The Administrative Assistant will provide general administrative and executive support to the Director of Photography and the Deputy Directors of the Photography and the Photography Department as a whole. The Administrative Assistant will coordinate schedules and communications for the senior leadership team, as well as schedule and manage image review projections, departmental meetings and visiting photographer projects. The Administrative Assistant will be in charge of all contest entry submissions and deadlines. This position will also support the Business Manager, Photographic with operations for all groups in the photo department (NGM Photographic, National Geographic Traveler, Nat Geo Photo Digital and NG Studio and Engineering.) and will assist the Business Manager by drafting standard assignment photography agreements for NGM, NG Traveler, and Nat Geo Photo Digital.
Responsibilities
• Scheduling:
• Manage calendars and organize meetings for senior leadership. The Administrative Assistant will be the main point of contact for anyone needing to reach or meet with individuals or the group.
• Assist in the preparation of meeting agendas by compiling necessary materials in advance.
• Schedule image review projections and department meetings.
• Communications:
• Assist senior leadership with communication as needed.
• Respond to portfolios and proposals sent to NG by photographers.
• Prepare and enter annual contests, be responsible for contest deadlines.
• Manage, produce and update photo department web page and emails to photographers.
• Expenses:
• Create and submit expense reports for senior leadership of the Photographic department.
• Operations:
• Coordinate onboarding for new staff (order hardware, software, etc.).
• Arrange travel for senior leadership.
• Coordinate with other departments for things like repairs and technical issues.
• Contracts:
• Draft standard assignment photography agreements.
• Ensure agreements get signed and executed.
• Archived final agreements.
Qualifications:
• Bachelor degree required
• 2-3 years experience providing administrative assistance to high-level executives
• Must be adept on a Mac and with basic software such as Microsoft Word and web browsers
• Experience in Adobe Photoshop, Filemaker Pro, Media Grid, Expressions Media Pro / iView and Fetch are a plus
