This Executive Assistant is responsible for administrative support and coordination for the executive office of Nat Geo WILD, based in Washington, D.C. Overall responsibilities include providing administrative support to the EVP and General Manager, maintaining and updating shared materials including department budgets, arranging travel, managing media for department and senior staff meetings, creating a high volume of presentations including both written and visual supporting materials, and departmental administrative tasks as assigned.
Responsibilities
• Help manage and streamline workflow, ensuring that EVP and GM is aware of other departments, priorities, and actions and is prepared for all meetings and duties.
• Manages EVP and GM's schedule (including travel) and other priorities so that all tasks are completed in a timely and effective manner.
• Administrative support to broader WILD team.
• Act as backup for Development, PMD, and Production teams.
• Manage media and coordination for department meetings.
• Serve as a liaison between executives and larger team, ensuring that all efforts are coordinated.
• Communicate with internal work groups and outside contacts.
• Keep network connected with other departments and third parties so that information flows accurately and smoothly, enabling the staff to make relevant and timely decisions.
• Manage travel and expense, general office needs and budget.
• Provide staff with resources and framework needed to achieve goals.
• Coordinate employee activities for WILD team (e.g. work schedules/strategic off-sites/team building initiatives).
• Manages all requests for promotional material, dubs, and gifts from internal staff, talent and coordinates with programming department on festival and award submissions.
• Manages NGW's intern program and onboarding processes.
Qualifications:
• B.A. or B.S. (TV and Film, Communications, Journalism, English) with 2-4 years professional experience.
• Proficient in Word, Excel, Filemaker Pro, PowerPoint, Microsoft Project, Lotus Notes, and Outlook.
• Experience with FinalCut Pro or other editing software, and Photoshop, a plus.
• Ability to juggle multiple assignments and manage rapidly shifting priorities.
• Familiarity with US and International broadcast markets, independent production and/or distribution a plus.
• Excellent oral and written communication skills and professional demeanor.
• Task and deadline oriented and able to juggle multiple pressing assignments simultaneously.
• Creative, good under pressure, and has a ''whatever it takes'' attitude.
