We're looking for an amazing office manager & executive assistant who wants to get in at the ground floor of a rapidly-growing startup backed by Disney. This position has opportunity for upward mobility to other facets of the company in the future.
Responsibilities:
- Run all of our office operations, from keeping our fridge stocked to planning and organizing amazing company outings
- Help coordinate with office guests and greet them when they arrive
- Effectively and proactively support our executive team and staff
- Calendar and email management, coordinating global schedules and making necessary arrangements for meetings and conference calls
- Organizing, prioritizing and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed
- Large event coordination
- Scheduling and coordinating travel arrangements, both domestic and international
- Document and presentation creation, editing and proofing
- Expense reimbursement, invoicing, and classifying open items with our accounting team
Requirements:
- 1+ years experience as an assistant at a major talent agency (UTA, WME, CAA, Paradigm, etc) or management company
- Bachelor's degree from a top 4 year University, emphasis in Marketing, Advertising, or Business preferred
- A terrific work ethic accompanied by a positive, get-it-done attitude
- Experience in a fast-paced environment
- Highly organized and detail oriented
- High level of integrity and discretion to handle confidential information
- Sound judgement and flexibility to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines with little to no direction
- Previous project management experience preferred
- Highly proficient with Word, Excel, PowerPoint, and Keynote
