We are seeking applicants for the position of Paralegal to manage rights and clearances for the Company's various (and growing) content needs.
Responsibilities include but are not limited to:
Secure rights to third party materials (image, music & other media)
Manage legal rights and clearances for company generated content including photo and video content, including image releases, talent appearances, stock acquisition, and usage agreements for use in Company channels (website, social, email marketing, marketing programs, etc.)
Document/catalogue in the Company's rights management system
Work closely and communicate regularly with Production, Production Management and within the Business and Legal Affairs Department
Handle talent, image and trademark releases from start to finish
Facilitate clearance requests by working closely with content producers in researching copyright ownership and by researching rights to pre-existing material as necessary
Negotiate licenses and permissions with various rights holders for content to be used in Company channels (website, social, email marketing, marketing programs, etc)
Process and track all invoices and payments
License in rights that cover exhibition across multiple platforms including linear, digital, social media, mobile, apps etc.
Collect deliverables, including guest/location agreements, license agreements and talent agreements when applicable. Report discrepancies or missing information to Producers and follow up to insure proper completion
Regularly report clearance costs to Production and Production Management
Work closely with these areas and proactively suggest cost-saving options and alternatives
Vet content prior to posting, (which may entail multiple stakeholders internally) to ensure necessary clearances are in place and route to in-house attorneys when necessary
Review releases and agreements to ensure that they conform to negotiated terms
Maintain contract files and tracking reports for all assigned programs/projects and ensure that licenses are executed and paid in a timely manner
Guide the content team in planning photo and video production to ensure on-time delivery of projects
Coordinate outreach to locations and acquire location agreements and COI
Manage department administrative tasks including:
Schedule, book and onboard freelancer hires
Negotiate freelance rates and complete contracts with our Legal Department
Manage project budgets, track expenses and submit expense reports
Coordinate photo and video equipment rentals and acquisitions
Manage Master Production Schedule
Participate in creative conceptualization and proposals
Foster a creative, collaborative, innovative, professional, and positive working environment throughout the organization
Qualifications:
BA degree (degree in Intellectual Property, Business Law, Communications, Publishing, Business or similar preferred)
Working Knowledge of Legal Concepts Related to Licensing, including copyright and trademark law
Expertise in licensing for all types of media platforms
Comprehensive understanding of image and music rights (for both photo and video)
Knowledge of the legal issues around social media and familiarity with best practices
Proven education and background in executing contracts and agreements
Minimum of 2-3 years experience in television/music/entertainment field, preferably in a business affairs, rights & clearances, or licensing capacity
Experience in video and/or photography in a coordinating role. Demonstrated on-set experience a plus
Demonstrated experience handling schedules and budgets
Superb organizational skills
Excellent communication skills (verbal and written)
Strong analytical, critical-thinking and problem-solving skills
Working knowledge of Microsoft Word and Excel
Knowledge of post-production workflows
Ability to work independently
Passion for New York City and a commitment to contributing to the City's continued success
