Role Purpose
Serve as an assistant to busy executive in an HR department. Assist in department-wide matters as appropriate, including supporting the Director and the Manager.
Responsibilities
Responsibilities include but are not limited to:
• With direction, oversee basic HR/O&S programs and events (e.g. 'Career Speaker Series' or similar)
• Handle busy phone volume
• Manage executive calendar, arrange and schedule numerous meetings involving many high-level executives (often in different divisions and time zones) at once; maintaining and updating calendar; develop and maintain relationships with executive assistants throughout the company; demonstrate flexibility, patience and persistence in routinely scheduling meetings
• Arranging complex logistics for multiple-attendee and multiple-location meetings (including Telepresence and slide presentation set-ups). Manage agenda & logistics for HR-wide (and some business-wide) meetings (e.g. Best Practice sharing calls, Mentoring meetings, etc.)
• Keep accurate and timely expense account records; maintain budget and billing system and follow-up on same
• Draft, type and proofread project reports, letters, memos, presentations, spreadsheets and other documents
• Make travel arrangements and manage travel expenses
• Organize and maintain files for ongoing projects
• Handle general office and administrative tasks; assist other members of the department; provide backup for co-workers
• Conduct internet and other research as needed
• Perform department business while maintaining strict confidentiality
• Maintain a positive attitude and demonstrate ability to be flexible in a rapidly changing business environment
• Manage HR Systems, including HR@Work, HR Development Portal, HR intranet and others

QUALIFICATIONS/REQUIREMENTS
Basic Qualifications
• Bachelors degree
• Minimum of 2 years experience working with computers, including demonstrated high-level proficiency in Microsoft Office suite (i.e. PowerPoint, Excel, Word and Outlook).

• Previous experience as an administrative assistant in a fast-paced environment supporting multiple people
• Demonstrated ability to assume greater responsibility as circumstances dictate
