Responsibilities Role Summary
It is an exciting time to join NBCUniversal and we are searching for candidates interested in supporting NBCUniversal's premier early career development experience in media, the NBCUniversal Page Program. This new role will have the unique opportunity to support the operations and strategy of a national rotational experience that aligns to the future-focus needs of NBCUniversal
In order to be successful, the Page Program Coordinator must possess strong organizational skills, a keen attention to detail, and must be able to juggle multiple responsibilities at once. Additionally, this individual must work well in a fast paced environment and think quickly on their feet, all while continuing to be an ambassador of the program and of NBCUniversal.
This is a unique opportunity to join a fun, collaborative, creative and entrepreneurial team. The role is based in New York City but it will support both NY and LA programs as outlined below.
Responsibilities
Page Program Operations
• Support scheduling efforts throughout the Page lifecycle, including the Tour at NBC Studios, rotational assignments, audience coordination, special events, and company sponsored initiatives
• Create and distribute the daily schedule for Ambassadorship Pages on the East Coast, while managing necessary changes and updates in real time (including weekends, when necessary)
• Assign Pages to weekend tours, audience services, and special events in New York
• Oversee cost allocation, weekly approval of billing entries, and assist with assignment bill-back process for Pages on both coasts
Page Lifecycle & HR Systems Support
• Provide support throughout all stages of Page recruitment, including candidate communication, tracking referrals at all levels, evaluating transcripts, and scheduling in-person panel interviews
• Assist with new hire process for all Pages including processing offer letters and background checks, completing I-9 verifications, and collecting new hire paperwork
• Execute all HR transactions in SAP to support the Page lifecycle, from onboarding through termination on both coasts
• Support transition process for Pages post-Program including scheduling exit interviews, collecting uniforms, and maintaining accurate records of conversions and exits
• Serve as expert of and contact for all Page Program policies
• Obtain necessary approvals and escalate questions to Page Program Management Team as appropriate
Talent Development Support
• Partner with Page Program Management Team and Talent Development Team to handle logistics for all Page development experiences
• Submit room reservations, manage catering, and track participant attendance
• Manage and regularly update internal Guidebook Page App, including inputting and updating regular information about new Pages and Page assignments
Office Management
• Manage distribution, organization, and maintenance of Page uniforms, including dry cleaning and fittings; keep track of uniform inventory for both coasts & liaise with uniform vendor to purchase additional uniforms as needed
• Manage and maintain the Page Office (office supplies, Facility needs, IT needs, etc.) primarily in NY; assist with supply ordering and invoice reconciliation for LA office
• Assist with maintaining inventory of Page Program-branded supplies and materials
• Work with Page Program Director to process and reconcile all invoices per Page Program budget
Page Management Team Support
• Assist in coordination of New York-based philanthropy events, quarterly graduation ceremonies, and all-Page meetings and celebrations
• Work with Admin Page(s) to provide administrative support to teams on both coasts
• Assist with various Page projects and company initiatives as needed Qualifications/Requirements Basic Qualifications
• Bachelor's degree in Human Resources or related field
• Minimum 1 year of administrative experience, working with Microsoft Outlook, PowerPoint, and Excel
• Must be willing to work overtime and be on call for weekends as needed Desired Characteristics Desired Characteristics
