Responsibilities :
The Universal 1440 Entertainment banner develops and produces live-action and animated non-theatrical productions directly for distribution in all media worldwide. Since its formation in 2005, the group has assembled an exceptional roster of animated family fare, including the Daytime Emmy®-winning Curious George television series for PBS Kids and Hulu; as well as the latest installment of the beloved The Land Before Time series, The Land Before Time: Tale of the Brave. The group also has successfully built upon some of Universal's highly celebrated live-action, comedy and drama franchises, Scorpion King, Death Race, Jarhead, American Pie, Honey, and Bring it On.
The Contract Administrator, Business & Legal Affairs supports the Business & Legal Affairs lawyers and paralegals in the performance of their duties and also serves as the back-up administrator for the Head of the Business & Legal Affairs Department.
Job Duties
Contract Administration:
Drafts simple production agreements such as Certificates of Engagement, Certificates of Authorship and Non-Disclosure Agreements.
Prepares contracts, redlines and cover letters and distributes same to outside lawyers, agents and managers representing talent (e.g., producers, writers, actors) and processes subsequent incoming redlines and comments utilizing Corporate Legal and 1440 filing protocols.
Procures and processes original signatures on final execution hard copies, distributes originals to all external and internal recipients and files executed originals in accordance with Corporate Legal Department requirements.
Creates, uploads and organizes contracts, correspondence and payment documentation into the appropriate electronic document management databases.
Represents the Business & Legal Affairs office by:
Communicating with outside talent representatives regarding the status of contracts and payments;
Selecting and sending to talent representatives contracts and the appropriate federal and state-required production ''start'' paperwork for completion by talent before commencement of work; and
Handling all incoming paperwork and invoices in a timely manner in coordination with Finance, Accounts Payable and Production Accountants and communicating with talent on status.
Payments:
Tracks events triggering payment pursuant to guild requirements and/or contractual obligations and coordinates with Creative, Physical Production, Finance and Accounting to ensure payments are made in a timely, compliant manner.
Creates payment authorities and processes, organizes and tracks all payroll documentation and payment requests for rights, writers, producers, directors, actors, casting directors and negative pick up studios.
Department Administration:
Provides full administrative support to attorneys, including fielding/rolling telephone calls (across multiple time zones) and coordinating meetings/events with talent representatives, guilds, outside counsel, production personnel and internal business partners; composing and reviewing correspondence and communications; maintaining schedules; processing expense reports and invoices from outside counsel; booking travel; ordering supplies; and in a timely and accurate manner handle heavy filing, scanning and copying of documents.
Maintains accurate, up-to-date Matter Status Report for assigned personnel.
Maintains accurate, up-to-date hard-copy legal files for a high-volume of matters.
Maintains Business & Legal Affairs Forms Library.
Additional special projects as assigned by supervisors.
Qualifications/Requirements :
Basic Qualifications:
Minimum 3 years' experience as an entertainment Contracts Administrator or Legal Administrator, preferably working in production at a studio or major production company, or at a talent law firm.
Bachelor's Degree Required

Strong oral and written communication skills, including attention to grammar and spelling, with demonstrated redlining and proofreading experience.
Exceptional organizational abilities, administrative skills and follow-up initiative.
Excellent attention to detail and time managements skills.
Professional presence, including a professional manner over the phone, in writing and in person, with the ability to interface with senior executives.
Demonstrated ability to develop and maintain good working relationships within, across and outside of the organization.
Demonstrated ability to work in a fast-paced environment supporting multiple people and successfully prioritizing workload.
