Job Description: Mustache, a content agency, is seeking an entry-level Executive Assistant to provide administrative and personal support to the CEO. This role also provides administrative support to our Operations team, including facilitating the day-to-day operations and upkeep of the company's office. The ideal candidate should have a high comfort level with executing judgment, confidentiality, and taking initiative when it comes to independent problem solving. The Executive Assistant interfaces and liaises with clients and staff and should have the ability to communicate effectively and professionally in a business environment. The small size and collaborative nature of our company provides the ideal environment to absorb knowledge through all stages of content conception and execution within an agency. Responsibilities
• Schedule meetings, appointments, and coordinate travel and accommodations;
• Arrange and coordinate dinners and events,
• Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating calls,
• Prepare CEO with documents and information necessary for meetings with brands and other stakeholders,
• Draft client facing decks and pitch materials, strategically referencing Mustache's relevant campaigns and production work,
• Expense reporting and receipt tracking,
• Greet clients or visitors,
• General office support and reception duties (supported by interns),
• Ensure Mustache facilities are clean, orderly, and stocked appropriately, completing all regular supply orders,
• Maintain office condition and arrange necessary repairs,
• Facilitate price and contract negotiations with office vendors and service providers,
• Address employee inquiries regarding office management issues (e.g. supplies, equipment, etc),
• Plan in-house or off-site activities, like celebrations and conferences,
• Support Operations with file maintenance, collection, and organization.
Required Skills & Experience
• 4 year college degree,
• Entry level position,
• Prior intern or work experience in production, advertising, PR, or media is a preferred,
• Razor sharp attention to detail and organization is a MUST,
• Trustworthiness, reliability, and loyalty cannot be understated,
• Maintaining professionalism while interfacing with high profile brands and celebrity talent,
• Passionate about pop culture, social media, and staying on the pulse of industry and trends,
• Competency using Google suite of Services and Microsoft Office
• Presentation tools and deck creation (OneNote).
