Office Coordinator Position:
Mustache is seeking an extremely detail oriented and organized administrative professional to join our team as Office Coordinator. This is a full-time, staff position after proven success in a trial period. While Mustache's team is dedicated, fast-paced, and professional, our atmosphere and culture are casual and inclusive, nestled in Mustache's Brooklyn-based office with open-air environment.
The Office Coordinator facilitates the day-to-day operations and upkeep of the company's facility occupied by nearly 40 full & part-time employees. This entails coordinating with both staff and vendors to ensure the office is running smoothly and is consistently equipped with the supplies and resources needed to do so. The Office Coordinator must have an inviting and professional demeanor, as they are the gateway to all incoming calls, guests, and clients. This position reports directly to the Associate Director of Operations (Supervisor) and additionally supports the operations team with administrative personnel support as needed.
This role is not designed to be a gateway to a career in production. The Office Coordinator role is designated for an administrative or business operations professional. The ideal candidate will seize this opportunity to impact the company's environment and culture by but putting their mark and passion into every task, no matter how great or small.
Responsibilities:
• Ensure facilities are clean, orderly, and stocked appropriately
• Reception duties, including answering phones, maintaining office appearance, and greeting guests
• Manage all incoming and outgoing mail, shipments, and deliveries
• Ordering of all office supplies and snacks to support office needs, while working within a budget
• Track and report office expenses, including credit card and petty cash expense reports
• Organize monthly happy hours, in addition to planning other exciting company events geared towards celebrating our dedicated staff and clients
• Provide direct administrative support to Assoc. Director of Operations and Bookkeeper as needed
• Maintain files and records as needed
• Prepare work stations, supplies, and start work for new employees
• Process & track incoming vacation requests
• Provide coverage and support for CEO's Executive Assistant as needed
Required Experience & Skills
• 2-3+ years experience in office administration, executive assistance, and/or reception required for consideration
• Comfortable answering and directing all incoming phone calls and maintaining phone system
• Highly organized with ACCUTE attention to detail
• Excellent oral and written communication skills
• Ability to remain calm and collected while multi-tasking in fast paced environment
• Working knowledge of Microsoft Office Suite and Google calendar/mail
• Administrative experience working in production or creative agency a plus
• Bachelors or Associates Degree preferred
