Position Title: Contracts Coordinator
Location: Santa Monica, CA
Reporting To: VP, Contract Administration
Summary
The Contract Administration group plays an integral part in supporting the Worldwide Distribution activities. In this role, the Coordinator will be coordinating deals within assigned territories from inception of the deal to final execution of long form contract and assist Finance with the collection of license fees. This role will ensure that Miramax performs its distribution obligations under the agreement (delivery of materials, collection of license fees, etc.). The ideal candidate will have similar, if not exact, experience in this field or paralegal experience with reading and understanding license agreements in this industry.
Responsibilities
• Enter all deal memo terms into FilmTrack (start and end dates, rights, license fees, holdback information, titles), while checking for collisions and acquisitions issues
• Circulate all Sales Deal Memos to Rights Management group for W&R (Windows & Restrictions), Finance, Legal and Servicing teams
• Disseminate new deal information to collaborating departments, Finance & Servicing
• Liaise with Freeway on deals with a withholding tax component to ensure contracts are signed and timely invoicing for payments
• Enter change orders into FilmTrack and check for collisions and acquisition issues
• Coordinate contract and amendment execution with Revolution for their agreements and the Morgan Creek agreements
• Maintain separate contracts in FilmTrack based on separate libraries to facilitate ease of invoicing and revenue recognition
• Circulate executed agreements, exhibits and amendments to collaborating departments
• Coordinate with Finance team to ensure invoices are sent to the Licensee for timely payments and all past-due payments
• Manage and update all files with hard copies of agreements, change orders and correspondence for all deals
Requirements
• Bachelor's degree in Business Administration or related field
• 2 years minimum of Contract Administration experience or within a Distribution support role, preferably at a Film/TV studio
• Knowledge of rights tracking systems, FilmTrack preferred
• Ability to interpret distribution license agreements
• Proficient knowledge of MS Office (Excel, Outlook and Word)
• Highly organized, detail oriented, and a proactive problem solver
• Paralegal experience ideal, but not required
