Position Title: Executive Assistant, Sales
Location: Santa Monica, CA
Reporting To: EVP, Head of Worldwide Television Sales, SVP, International Distribution
Summary
The Executive Assistant, Sales supports and assists the executive(s) in all business activities. The ideal candidate must have experience handling a wide range of administrative and executive support related tasks and be able to work well within an administrative team in an environment of constantly changing priorities
Responsibilities
• Fully support Sales Executives administratively; maintain calendars, coordinate meetings, prepare expense reports, arrange and coordinate complex travel
• Screen incoming calls and correspondence and respond independently when possible
• Continuously build International Client database for distribution relations
• Track payments and invoices for deals and ensure they are paid correctly and in a timely fashion
• Work closely with other Administrative Staff as needed to coordinate calendars, meetings and other events that involve multiple executives and/or departments
• Frequently correspond with outside studios & vendors and facilitate meetings with both Miramax colleagues & external clients & sales prospects
• Use company systems & applications to run reports and locate documents
• Perform other administrative duties as needed, including ongoing reception coverage
Requirements
• Bachelor's degree preferred and minimum of 2 years related experience
• Proficient skill set in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
• Entertainment experience required (talent agency, production company or studio)
• Must have excellent oral and written communication skills & an impeccable attention to detail
• Experience supporting more than one executive/supervisor preferred
• Prefer candidates with an interest in pursuing film/television distribution or sales as a potential career
• Strongly prefer candidates possessing experience with TV & Film Markets/Festivals (MIPTV, MIPCOM, EFM, Sundance and NAPTE etc.)
