Position Title: Executive Assistant, Marketing and Publicity
Location: Santa Monica, CA
Reporting To: VP/Head of Marketing & PR
Summary
The Executive Assistant, Marketing & Publicity assists the head of department in all business activities. The ideal candidate must be experienced in handling a wide range of administrative and executive support-related tasks specific to theatrical motion picture marketing and publicity. This is an opportunity for a driven, proactive and intelligent individual with superb critical thinking and problem-solving prowess to work a desk that demands excellence at all times. Exceptional attention to detail and organization, first-rate prioritization and multi-tasking skills, advanced computer proficiency (incl. outstanding typing skills), honesty and integrity are absolutely essential.
Responsibilities
• Act as a personal manager in order to anticipate and address the needs of the department head
• Heavy daily administrative support to the department head, including but not limited to: meticulous calendar, contacts and call log management, scheduling meetings, fielding & rolling calls, expense reports, travel arrangements, filing, and more
• Organize, facilitate, and prioritize communication within the organization between the department head and direct reports and peers
• Handle and maintain extremely sensitive materials with utmost confidentiality
• Print scripts, call sheets and other daily production documents, and maintain neatly organized project binders and other folders
• Effectively communicate with various internal departments on a daily basis
• Greet guests with utmost professional courtesy, set up conference rooms for meetings, arrange for food/drinks if necessary, and clean up afterwards
• Research as needed
• Manage interns
• Performs other duties as needed and assigned
Requirements
• Must have at least 1-2 years hands-on support experience in theatrical motion picture marketing and/or publicity
• Must be proactive and driven
• Must be a superb critical thinker and practical problem-solver
• Must thrive in hectic, demanding and challenging environment
• Must have impeccable and meticulous attention to detail
• Must have excellent organizational and prioritizing skills
• Must have excellent oral and written communication skills, including phone etiquette
• Must be highly proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), PC and Mac OS
• Must be able to type at least 70wpm
