Position Title: Administrative Assistant
Location: Santa Monica, CA
Reporting To: Production & Development Group
Summary
The Administrative Assistant is responsible for providing all day-to-day administrative support to the Production & Development Group and general office needs. The ideal candidate must be experienced in handling a wide range of administrative and executive support related tasks. The Assistant must be able to work well within an administrative team in an environment of constantly changing priorities. The best candidate suited for this role will aspire to learn more about the world of Production and Development.
Responsibilities
• Relieves Receptionist for lunch by covering front desk daily
• Provide continuity of coverage for reception and department assistants when absent
• Liaises with internal/external administrative staff as needed to coordinate calendars, meetings and other events that involve multiple executives and/or departments
• Maintain and update various databases, spreadsheets and tracking systems
• Screens incoming calls and correspondence and responds independently when possible
• Maintains calendars, coordinates meetings and appointments and keeps executive appropriately informed on a timely basis when changes occur
• When needed, rolls calls and maintains call sheet
• Arranges, books and monitors details of complex travel and itineraries
• Prepares the executive(s)' expense reports and reconciles corporate credit card account
• Organizes programs and meetings by arranging facilities and caterers
• Performs other duties as needed and assigned
Requirements
• Minimum 1 year related experience within entertainment industry required
• B.A. degree required, ideally in Film/TV, English, or related
• Ability to handle multiple tasks in a fast paced environment
• Excellent oral and written communication skills are crucial, including phone etiquette
• Ability to interact effectively at all levels internally and externally
• Excellent organizational skills, follow up and follow through skills
• Ability to be an effective team member and follows directions from various
• Incidental cleaning of conference rooms and spaces post meetings
• Build and maintain relationships with other departments and cross functional groups
• Must be able to work flexible work hours as assigned
• Proficient skill set in Microsoft Office Suite (Excel, Word and Outlook) and must be internet savvy
