Job Description
Ensure adherence to corporate policies and procedures by reviewing expense reports, facilitating travel approvals, tracking vacation time etc. for International TV group
Serve as liaison between Office of President, TV Group and International Sales Offices insuring timely calls, meeting requests and reporting deadlines are met
Collaborate with Los Angeles and International Sales Team in scheduling client meetings for three major markets a year
Review, track and facilitate approval for all distribution deal memos working closely with International Sales Team.
Produce and distribute necessary reports as needed in a timely manner
Key point of contact for President's office: Screening all incoming correspondence, including emails, telephone calls and meeting requests
Professional and reliable phone coverage: Screen all calls and use good judgment
Manage extensive calendar co-ordination, including high-profile internal and external meetings and conference calls, both locally and internationally
Coordinate complex domestic and international travel arrangements and itineraries
Prepare and process expense reports, and ensure timely settlement of Corporate Credit Cards
Word-process documents and letters; prepare Excel spreadsheets and PowerPoint presentations
Establish and maintain office files, reports and contracts, ensuring timely filing of documents
Other ad hoc support as needed
Experience
Seasoned professional with solid senior level secretarial experience
Previous experience supporting a senior executive within the television industry
Highly motivated individual able to work independently and apply good judgment and discretion
Must have excellent communication skills including letter writing and telephone manner. Possess a calm and level-headed attitude at all times
Ability to work effectively on his/her own. Accuracy and attention to detail is of great importance
Ability to multitask and maintain flexibility in a fast paced and pressured environment
High degree of computer literacy: Word, Excel, PowerPoint essential
Ability to anticipate needs and demonstrate a proactive style
Able to prioritize and work to tight deadlines, possessing an entrepreneurial and problem-solving approach
Ability to research and source ad hoc information independently
Ability to work with confidential and sensitive information in a discrete manner
Experience working with multiple time zones and cultures
