Responsibilities:
OFFICE SERVICES
Responsible for vendor management and invoice processing
Oversee building inspections
Manage mailroom employees
Work with landlord, contractors and inspectors to ensure building code compliance and to correct violations.
Manage audio-visual equipment repair, maintenance and purchase, appliance issues and purchases, fire safety equipment maintenance, signage repair, general building maintenance and repairs.
TELEPHONE MAINTENANCE
Oversee all maintenance and repair issues for Avaya phone system
Handle moves/adds/changes
Program basic changes on the Avaya client site administration software program (name changes, voice mail passwords, etc.)
MAINTENANCE MANAGEMENT
Develop regular maintenance schedules and budgets
Coordinate with landlord and various vendors on maintenance related issues
Monitor supplemental HVAC server room units
SECURITY MANAGEMENT
Respond to unwanted visitors
Oversee and maintain the Access and Control/CCTV systems
Manage emergency response team and emergency manuals
Manage access cards and re-keying of offices
CONSTRUCTION MANAGEMENT
Direct all aspects of occasional in-house office alterations, including the development of move schedules and sequences, coordinating with Telecommunication Contractors and IS department, updating locations in personnel databases, producing post-move punch lists and processing invoices for payment.
Plan and implement design and construction of occasional office modifications.
Update existing as-built drawings and employee office locations in CAD
FURNITURE MANAGEMENT
Manage all corporate furniture assets
Act as primary point of contact for office furnishing issues and systems furniture reconfiguration issues
Ensure compliance with corporate furniture standards
Requirements:
Minimum 5 years' experience in a corporate facilities environment
Detail oriented with excellent follow-through
Strong organizational and computer skills including proficiency in AutoCAD and MS Office
Entertainment industry exposure desirable
