Full Time Assistant for a Boutique Music Booking Agency in West Los Angeles.
Entry level position with room for growth.
Be highly organized with exceptional interpersonal skills for handling various situations and personalities. This role is responsible for supporting the CEO, SVP, Operations Manager and Agents and as such, requires the ability to multi-task, juggle and switch priorities at a moment's notice.
Assistant Job Responsibilities:
Provide daily support to busy executives in all administrative tasks; preparation of all paperwork prior to contracting as well as issuing contracts; deposit tracking; act as first line of contact for all incoming correspondence to the office; manage incoming calls, prioritize phone messages, emails, mail; update and maintain call lists for CEO; interact with clients, managers, buyers and venues and be prepared to handle all of their needs

Assistant Job Duties:
-Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
-Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.
-Greeting clients in person or on the telephone; answering or directing inquiries.
-Maintains buyer confidence and protects operations by keeping information confidential.
-Prepares deposit and tracking sheets, contracts, and deal memos by collecting and analyzing information.
-Provides historical reference by developing and utilizing filing and retrieval systems.
-Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
-Contributes to team effort by accomplishing related results as needed.
Assistant Skills and Qualifications:
Microsoft Office Skills, Strong Work Ethic, Detail Oriented, Patience/Thick Skin, Organization, Time Management, Verbal Communication, Transcribing Skills, Basic Technical Understanding of Microsoft Outlook and other programs.
Requirements:
BA/BS degree, 1 year minimum experience
Entertainment experience preferred but not necessary.
