Part Time Job
Reporting to the Staffing Analyst, the Staffing Assistant will serve as a point of contact for scheduled employees, help execute staffing plans, and monitor compliance with state and Federal labor laws.
Please note: This is a seasonal, part-time position working approximately 30 hours a week during the season (March to October). There will be 0 hours worked during the off-season (November to Mid February). Applicants must be available to work 8:30 am-5:30 pm on Mondays. Shift times are flexible Tuesday through Sunday as the hours may vary depending on event/game schedule. May need to work some late nights, weekends and holidays.
Duties:
Responsibilities include but are not limited to:
• Manages the attendance hotline and Scheduling email inbox and serve as the main contact for all hourly event staff for any attendance-related issues.
• Monitors potential meal and rest break violations and cross checks against information in employee file.
• Communicates and collaborates with department managers regarding time card errors/inconsistencies.
• Researches, verifies information, and processes payroll adjustments in conjunction with the Human Resources (“HR”) and Finance Departments.
• Ensures time card accuracy and compliance with structured disciplinary follow-up where needed. Works to resolve payroll and employee time keeping problems.
• Coordinates monthly birthday mailings.
• Assists with coordinating ABI Mastermind (“ABI”) functions, including:
• Tracking individual employee attendance records, notating tardiness and absences in ABI and reporting issues to HR if deemed necessary.
• Ensuring adequate coverage is maintained for all staffing needs and positions are filled when scheduled employees are unavailable for their shifts.
• Processing daily time card records and reviews for errors or inconsistencies. Communicating with department managers to correct any WIP errors or warnings or other adjustments from the previous work day.
• Maintains appropriate confidentiality at all times and information is only provided to those who are entitled to access such information.
• Available at events, where needed.
• Performs other job-related duties as required.
Qualifications:
• High school diploma. Bachelor’s degree with business or resource planning emphasis preferred.
• Bilingual in Spanish.
• Highly competent with MS Excel and Word as well as the ability to learn new programs and troubleshoot system issues utilizing available IS resources with minimal supervision. Experience with ABI MasterMind a plus.
• Capable of performing multiple tasks simultaneously.
• Effectively communicate both verbally and through written correspondence with all levels of management as well as employees and vendors.
• Good organizational skills.
• Ability to work varied hours, including holidays, weekends and late nights as dictated by the events scheduled, if necessary.
